We are looking for a proactive, detail-oriented Executive Assistant to support the Managing Director of Vibe65, a fast-growing fulfillment and consulting business. You will play a vital role in helping the MD stay organised, responsive, and focused, while also ensuring clients and internal teams are supported with timely communication and efficient systems.
Key Responsibilities
Inbox & Calendar Management:
Monitor and filter the MD's inbox, prioritise important messages, and ensure follow-ups are actioned. Schedule and manage meetings while protecting the MD's time and focus.
Client Communication & Reporting:
Respond to client emails, handle daily requests, and produce accurate reports using Google Sheets/Excel. Maintain a high level of professionalism in all correspondence.
Call Handling & CRM Updates:
Answer and make calls on behalf of the MD. Take messages, record notes, and update the CRM with relevant details.
Operations & Organisation:
Help set up and improve systems that enhance team productivity. Organise and maintain digital files and important documents.
General Executive Support:
Assist the MD with daily tasks, business coordination, and light personal admin when required.
Requirements
Proven experience as an Executive Assistant or similar role
Excellent organisational and time-management skills
Strong Google Sheets / Excel skills
Experience with Google Workspace and CRM platforms
Clear and confident written and verbal communication skills
Ability to work independently and handle sensitive information with discretion
Bonus Skills (Not Essential but Desirable)
Familiarity with Airtable, Notion, or project management tools
Experience in e-commerce, logistics, or startup environments
Basic understanding of Amazon FBA, warehousing, or fulfillment services
