Job Description

We're seeking a highly organised, professional and discreet Executive Assistant to join our Wilmslow-based Team and provide exceptional support to the Executive Team. This role supports multiple businesses within the group portfolio, ensuring high-level coordination, communication, and execution of key strategic tasks.



About this role:



You'll act as a central hub of support for the Executive Team, helping manage meetings, strategic communication, and relationships with key stakeholders. You will also play a pivotal role in commissioning activities, governance support and reporting.



This is a varied, senior administrative role that requires proactivity, attention to detail, and exception interpersonal and organisational skills.



Key Responsibilities:



1. To provide support to the executive team in delivering the group's overall strategic objectives across companies.



2. To provide personal and professional administrative support to the executive team, including diary management, scheduling internal and external meetings, prioritising correspondence and anticipating administrative needs.



3. To provide dedicated administrative support in the delivery of commissioning activities across the group. This includes scheduling meetings with commissioners and external stakeholders, managing correspondence related to commissioning matters, and assistance with record keeping of discussions, decisions and submissions. The post holder will assist in the preparation of the proposals, reports and trackers required to support effective commissioning processes.



4. To support external relationship management by liaising with stakeholders including commissioners, regulators, partners, investors, and professional service providers.



5. To organise meetings across group companies and departments, including preparing agendas and literature, coordinating logistics and ensuring timely follow-up of actions.



6. To attend and take notes at monthly operational managers' meetings, capturing clear action points and supporting follow-up activity where required.



7. To coordinate departmental reports and documentation for operational managers' and board meetings, strategic sessions, and other meetings involving the Executive Team.



8. To assist, where necessary, in the preparation of high-quality presentations, briefing materials, support documents and reports for internal and external parties.



9. To conduct research and analysis as directed by the members of the executive team, and to produce reports if required.



10. To provide administrative support to the Executive Team in the leadership, management, and delivery of organisational priorities. This includes supporting on strategic projects and developments, assisting in the coordination and completion of day-to-day operational responsibilities across group companies. The postholder will play a key role in ensuring initiatives are well-organised, efficiently tracked, and appropriately supported through effective documentation, communication and follow up.



11. To support governance processes by maintaining accurate records, filing board documentation, and ensuring compliance with reporting/audit requirements



12. To handle sensitive and confidential information with the highest level of discretional and professionalism.



13. To assist with planning and booking travel, accommodation, and itineraries for members of the Executive Team.



14. To support with any other general administrative duties required to ensure the effective running of the executive office.



Summary:



28,000-33,000 per annum (dependant on experience)



40hrs per week, 8am-4pm, hybrid based with expectations to travel to our different sites in Manchester when required.
