About Regency House



Regency House is Belfast's most beguiling boutique townhouse. Our treasured five-star Georgian terraces have been lovingly restored to exude peerless elegance and redefine hospitality in Belfast City. Our operations and team continue to grow, and we are therefore seeking to appoint a proactive and organised Executive & HR Assistant to support our leadership team and help ensure smooth day-to-day operations across the business.

This is a key role for someone who enjoys variety, takes pride in efficiency, and is passionate about people, communication, and organisational excellence.

Role Overview



The Executive & HR Assistant will provide direct administrative support to senior management. You will act as a central point of coordination, ensuring that communication, documentation, and scheduling are well-managed and aligned with company policies.

This role is ideal for someone who is highly organised, experienced in handling confidential information, people-focused, and able to work with initiative in a fast-paced environment.

Key Responsibilities



Executive Support



Provide day-to-day administrative support to senior leadership Manage diaries, appointments, and meeting schedules Assist with preparing reports, presentations, and correspondence Attend management meetings and take minutes where required Support with project coordination and follow-up actions Maintain organised filing systems Support safety and compliance administration, including incident logs, maintenance reports, and training certifications

Manage the compliance calendar and schedule inspections and testing in accordance with legal requirements Schedule maintenance as required

HR Administration



Support recruitment processes: posting adverts, screening CVs, scheduling interviews Manage onboarding and induction documentation Maintain employee records and personnel files in line with GDPR Assist with training logs, development tracking, and compliance monitoring Handle holiday requests, absence records, and HR system updates Prepare employment letters and internal communications Support payroll administration Help ensure consistent communication between staff and management

Skills & Experience



Essential



Strong organisational and time-management skills High level of attention to detail Excellent verbal and written communication Experience in administration, HR support, or office coordination Ability to handle confidential information professionally Strong IT skills (Microsoft Office) Ability to multitask and work under pressure

Desirable



Experience in hospitality, HR, or executive support environment Knowledge of basic HR processes, employment documentation, or payroll Experience organising meetings or supporting senior leadership
