Position Overview



We are seeking a highly organised, proactive, and professional Personal Assistant to provide comprehensive administrative and organisational support to the Chief Executive Officer (CEO) and board members. This role requires a high level of discretion, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be resourceful, adaptable, and able to anticipate the needs of senior stakeholders.

Key Responsibilities



Provide high-level administrative support to the CEO and board members. Efficiently manage the CEO's diary, scheduling meetings, arranging travel itineraries and organising accommodation to ensure seamless daily operations and effective time management. Prepare, proofread, and edit correspondence, reports, presentations, and other documents as required. Organise and coordinate board meetings, executive off-sites, and special events, including preparing agendas, taking minutes, and following up on action items. Monitor and manage incoming communications (emails, calls, post) and respond or delegate as appropriate. Assist with the preparation and distribution of board packs and executive materials. Maintain accurate records, files, and documentation for the CEO and board. Liaise with other departments and external partners on behalf of the CEO and executives. Undertake ad hoc projects and research as requested by the CEO or board. Ensure all activities comply with company policies and maintain strict confidentiality at all times. Travel as required.

Person Specification



Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting C-suite executives or board members preferred. Exceptional organisational and time management skills, with the ability to multitask and prioritise effectively. Excellent written and verbal communication skills, with strong attention to detail. Demonstrated ability to handle sensitive information with discretion and maintain confidentiality. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms. Professional, approachable, and calm under pressure. Ability to work independently and as part of a team. Offer a flexible approach to accommodate business needs as requested by the CEO.

Marketing & Customer Services Duties



Plan, organize and administer all company and corporate events as requested by the Marketing Director. Assist the Marketing Department during busy periods and provide general assistance in administration/typing as requested.
