We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our senior management team. Responsibilities
Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.
Prepare and organise documents, reports, and presentations using Microsoft Office and Google Workspace tools.
Handle incoming correspondence via email, phone calls, and other communication channels with professionalism and courtesy, adhering to proper phone etiquette.
Perform data entry tasks accurately within systems such as QuickBooks and other organisational software.
Assist with general administrative duties including filing, photocopying, and maintaining office supplies inventory.
Coordinate internal meetings and prepare agendas, minutes, and follow-up actions as required.
Support with billing, invoicing, and expense tracking using appropriate financial software.
Liaise with clients, vendors, and internal teams to facilitate smooth communication flow.
Requirements
Proven administrative experience with a strong understanding of office procedures.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with QuickBooks or similar accounting software is desirable.
Excellent organisational skills with the ability to prioritise tasks effectively in a fast-paced environment.
Strong data entry skills with high accuracy and attention to detail.
Previous clerical experience demonstrating familiarity with office equipment and procedures.
Exceptional phone etiquette combined with clear verbal communication skills.
Adept at typing quickly while maintaining accuracy; familiarity with data management systems is advantageous.
