Role Overview:
We are seeking a highly capable and proactive Executive Assistant to support both Co-CEOs -- one leading our commercial operations, the other our Founder focused on product and innovation. This is a high-impact role, ideal for someone who thrives in a fast-paced, scaling environment and is confident managing the demands of two senior leaders.
The ideal candidate will have experience supporting two executives or managingdirectors, and the ability to juggle shifting priorities, manage confidential information, and bring structure, clarity and calm to the chaos.
Key Responsibilities:
Executive & Administrative Support
Proactively manage both CEOs' calendars, inboxes, calls and travel - prioritising time effectively across a high volume of meetings.
Act as a trusted gatekeeper and liaison for internal teams and external stakeholders.
Prepare agendas, briefing documents, and follow-up actions for meetings, including board, leadership, and external partner sessions.
Coordinate travel and accommodation (including international), ensuring seamless itineraries and logistics.
Manage expenses and reimbursements for both CEOs.
Communication & Documentation
Draft, edit and proofread internal and external correspondence, emails, and reports.
Prepare documents, presentations and charts in support of key meetings and initiatives.
Support with high-level confidential files and documents, keeping them organised and accessible.
Meeting & Event Coordination
Attend leadership and board meetings to take notes and track action items, ensuring timely follow-up.
Book meeting rooms, liaise with the Senior Administrator to organise catering and logistics for board meetings and other key events.
Help plan and coordinate internal events, offsites or celebrations alongside the wider People & Ops team.
Project & Task Management
Track and manage CEO follow-ups and project tasks using tools like Slack and Asana.
Support the CEOs in monitoring progress across business-critical initiatives and holding stakeholders accountable for deliverables.
Occasional Personal Support
Provide occasional personal admin support to the CEOs as agreed (e.g., appointments or logistics).
Requirements for the role
5+ years' experience as a PA/EA, with a strong preference for experience supporting two senior executives or MDs simultaneously.
Exceptional organisational skills with the ability to manage multiple, fast-moving priorities.
High level of discretion and confidentiality when handling sensitive information.
Strong interpersonal and communication skills - both written and verbal.
A proactive, solution-oriented mindset and the ability to work independently.
Tech-savvy and confident using modern tools - including Slack, Asana, Microsoft Office (Word, PowerPoint, Excel).
