Are you a highly organised and proactive professional with a passion for supporting executive leadership? The Eden Project is seeking an experienced Executive Support Assistant / Office Manager to join our Business Support Services team.

This key role will provide high-level administrative and project coordination support to the Executive Support Manager and the Enabling Leadership Team (ELT). You'll also take ownership of the Foundation Building office space, ensuring it functions as a professional, collaborative and welcoming working environment.



Key Responsibilities:



Provide comprehensive admin support, including diary management, meeting coordination, travel booking, document preparation and reporting. Support the planning and delivery of ELT and GCEO events and meetings. Manage the Foundation Building office, ensuring high standards of presentation and functionality. Liaise with internal teams and external providers to ensure smooth day-to-day operations. Coordinate logistics for visiting VIPs and ensure a professional visitor experience. Manage purchase orders, invoices and credit card reconciliations in line with Eden's financial policies.

About You:

We are looking for someone who:



Has a minimum of 3 years' experience in a PA/administrative role at Director level. Possesses excellent communication, interpersonal, and organisational skills. Is IT-literate with advanced knowledge of Microsoft Office. Is discreet, adaptable and confident in managing sensitive information. Can prioritise tasks effectively and work independently in a fast-paced environment. Has a positive, solutions-focused attitude and a passion for delivering exceptional service. Holds a full, clean driving licence.

Roles within the Business Support job family are dedicated to optimising professional, technical and administrative services, which support the work of other job families in making Eden successful.



Role Purpose



To provide accurate and reliable administrative co-ordination and project management support to the Executive Support Manager and Enabling Leadership Team (ELT) and members of the associated team to assist with the delivery of specific accountabilities across the portfolio of projects.



Key Accountabilities



1. Provide general administrative support for the Executive Management including assistance with collation of documents, meeting agendas, drafting reports, proof reading final documents, developing and maintaining filing systems (email and SharePoint), co-ordination of the specified diary and meeting arrangements, travel/accommodation through Uniglobe or directly with hotels where required, on-site support for visitors and itinerary planning, project support for ELT activities, organising required MS Teams calls and multitasking proficiently when required.

2. Work alongside the Executive Support Manager on strategic company requirements, ELT events and meetings organisation, including meetings with GCEO.

3. Responsible for the management of the Foundation Building Office and the employees/partners that use the space.

4. Take a pro-active approach to presentation and how the important head office space is used, who is using it, and working to help refresh the space as a professional inviting working environment for all. Objective - to make this a clean, presentable, welcoming, collaborative professional working space for everyone.

5. Liaison with parties across site-based teams and external providers to ensure that the building is being maintained and changed as required.

6. Working closely with the in-house Tech Services (Maintenance) Team to ensure any issues around safety or the fabric of the building is actioned speedily.

7. Liaison and coordination with fleet management for the Volvo cars.

8. Maintains a constant, professional approach when answering the telephone and self-presentation and acts as a positive ambassador for Eden.

9. Finance responsibility for creating all required Purchase Orders, Sales Invoices, New Customer and Supplier information and credit card statements whilst adhering to the Company Finance Policy and Procedure.

10. Maintain and update the ELT contact / project list to ensure all details are correct and able to be used for specific events/correspondents.

11. Coordinate relevant travel bookings, Visa arrangements and associated logistics for ELT as required ensuring these are within the correct budget code, whilst adhering to the Company Travel Policy and Procedure.

12. Liaise and co-ordinating logistics for visiting groups or individuals.

13. Establishes and maintains excellent communication channels at all levels enabling the free-flow of all relevant information to be transmitted promptly.

14. Generates work of a high standard contributing to and maintaining Eden Project image both internally to its staff and externally to its clients, contacts, partners and suppliers appropriate to the ELT.



Demands of the Role



Education and Qualifications

Educated to GCSE Level, A-C Grades (or equivalent) with excellent literacy and numeracy skills. Qualification in a related field at NVQ level 2, preferably with business administration at this level.



Knowledge and Skills

Role holder will ideally have a minimum of 3 year's PA/admin experience working at Director level. They will be an accomplished practitioner with accumulated vocational skills to handle the requirements of the role. Excellent IT Literacy skills including an advance knowledge of Microsoft packages (Word, Excel, PowerPoint, Outlook).



Decision Making

Organises and prioritises own work within established procedures, referring complex issues to the Executive Support Manager. Focuses on both short term and long term projects where the impact of judgements and decisions will be both immediately apparent and apparent within a few weeks or months. Decisions usually require confidentiality and networking with organisation to develop the right outcome.



Resourcefulness

Excellent attention to detail and accuracy, the role will largely work within defined parameters, however at times may require adaptive thinking. Reactive problem solving will be a feature of this role with the level of operation and types of queries/projects handled. Own projects are managed with responsibility for revenue to Eden. These projects will attract attention externally and engender PR.



People and Asset Management

No team responsibility. Budget responsibility for travel and accommodation up to 1,000. Responsibility for the security of shared systems and protecting highly confidential and company critical information.



Communication and Visitor Experience

Excellent communication and interpersonal skills are a key feature of this role. The role holder will be able to communicate effectively with team members and external contacts at all levels, together with being able to host and support prospective clients and guests as required. Approach and methods will need to adapt to suit the appropriate audience. Regular confident interaction with the external partners, sub-contractors and various stakeholders of the Eden Project. The role holder must have a positive, can-do attitude, be proactive and be able to find solutions to problems.



Operational Environment

Office based role, with occasional visits to other sites as required.

Full, clean driving licence is desirable as role involves driving around the site, etc.

Will be exposed to highly confidential and sensitive information so discretion is essential.

Sometimes required to respond to urgent tasks/situations out of normal working hours.
