Driver Bookings Team Coordinator - Maternity Cover
Summary
Working for Brandscape Ltd. supporting Porsche as an administrator for the Track Team for driving experience operations at The Porsche Experience Centre (PEC), Silverstone.
Strong organisational and administrative skills, computer skills, and a strong understanding of safety and HR parameters will be needed for the role.
Working as part of a busy, enthusiastic and highly professional team, in a unique environment, the role requires working and communicating effectively with both client and the Porsche Driving Consultants (PDCs), with the desire to continuously improve quality and standards.
Key Responsibilities
- Scheduling and coordination of a flexible Driving Consultant resource
- Coordinate selection, booking and payment of Driving Consultants
- Daily, Weekly & Monthly Reporting
- Management of expenses systems and processes
- Ensuring compliance with IR35
- Coordinating and documenting training for the Driving Team.
- Maintaining and monitoring GDPR.
- Answering queries and questions from the driving team daily.
- First point of contact for HR issues.
- Escalate appropriate HR concerns to be dealt with in a timely manner.
- Plan and approve holiday arrangements for PAYE staff.
- Daily contact for PEC client, responding to any questions and requests promptly.
- Close liaison with Contact Team Leader to understand changing status of customer bookings and fleet and Driving Consultant requirements.
- Close liaison with Events Manager and PDC Team to ensure event working documents are cascaded to the wider drive team as appropriate and event reporting is filed.
- Storage, inventory and allocation of approved Driving Consultant branded uniform.
- Ongoing compliance and review of Driving Consultants.
- Monitoring qualification and training status for all Driving Consultants.
- Supporting the Chief Driving Consultant.
- Resource allocation and staff organisation to maximize efficiency and quality.
- Helping to monitor and ensure safety and operational procedures.
- Monitor records for quality and risk assessment, processes etc, ensuring that issues are addressed and documented to company and ISO 9001 standards, and ensuring safety processes are documented.
- Understand and maintain company data security standards and support audit.
- Understand and maintain sustainability and environmental processes and support audit.
- Understand and implement operational processes, procedures, admin etc.
- Coordinating and documenting emergency responses, procedures and responsibilities as required.
- Support PEC team, and PEC strategic objectives.
- Help cover front desk/hosting duties
- Manage bookings for the driver house.
- Look after driver house, including supplies are kept stocked up and cleaning schedule is maintained.
This role will be up to 5 days per week and based at Porsche Experience Centre, Silverstone. Working days will be flexed based on their opening dates which are usually Monday - Friday though some weekend working will be required.
Preferred Experience, Skills and Qualities
- Enthusiastic and proactive.
- Organised and efficient multi-tasker - good administrative skills
- Friendly and unflappable, but able to be firm.
- Used to working in a team and able to handle all kinds of personality.
- Good written and verbal communication skills.
- Proficient with Microsoft Office.
- Working knowledge of HR and H&S principles (technical/legal HR and H&S support will be provided).
- Good commercial awareness.
- Some flexibility to work pattern
- Interest in motorsport and the Porsche brand is a plus.
