Role Overview



We are seeking a

highly organised and proactive Project Administrator / Coordinator

with strong administration skills and a natural

Health & Safety bias

. This is a

multifaceted role

, critical to both office management and project delivery. You'll provide essential support to our operations and project teams, helping to keep the business running smoothly while ensuring telecoms projects are delivered safely, on time, and to specification.

Key Responsibilities



Project Coordination



Maintain and update project trackers Create and support teams in preparing

customer handover and completion documentation

Produce Risk Assessments & Method Statements (RAMS) Coordinate weekly project updates and compile meeting minutes Liaise with clients, subcontractors, and site contacts to ensure clear communication and project alignment Assist with ad hoc administrative and project-related tasks across the business

Office Management & Administration



Manage office telephones (listed in H&S documentation), implementing answering facilities when required Print and prepare design documents, CAD drawings, and H&S packs for technicians -- maintaining checklists to ensure accuracy Provide general office administration: filing, correspondence, handling postage and courier shipments Manage equipment/material requests and office supplies, ensuring timely processing to avoid operational delays Implement and maintain plant and hire trackers to monitor equipment usage and costs Upload completed registers, toolbox talks, and training records into compliance systems, ensuring accuracy and reusability Monitor shared mailboxes, ensuring prompt action on incoming communications Assist with fire and office safety checks and maintain compliance records

Safety & Compliance



Manage and maintain company compliance software (full training provided) Support the maintenance of the training matrix -- uploading and updating records, and sending renewal reminders Contribute to internal and external audits, ensuring documentation is current and accurate Assist in Secuirty clearnace attainment with the workforce and managing those process Create and Update continual complicance systems within the organisation

Travel & Coordination



Book and coordinate travel and accommodation for project teams working nationwide

What We're Looking For



Proven experience in administration, office coordination, or project coordination Strong organisational and multitasking skills with excellent attention to detail A natural bias toward

Health & Safety best practice

Ability to read, interpret, and work with CAD drawings (desirable) Proficiency in IT, including

Microsoft Office 365, presentation tools, and online software platforms

Smartsheet knowledge beneficial (training can be provided) Strong communication skills -- written and verbal -- with confidence liaising across teams and with external stakeholders Ability to work independently and as part of a team A full UK driving licence

Requirements



Must be eligible to secure

National Security Clearance (mandatory)

and pass any additional vetting required Office-based role (Flore / Whittlebury), with some travel coordination responsibilities

Health & Safety qualification / Experience desirable (not mandatory)
