Experienced Dental Receptionist - Private Practice

Role Summary
The Dental Receptionist is the
first point of contact for patients and visitors
and plays a critical role in the smooth day-to-day operation of the practice. The primary purpose of the role is to deliver a
professional, efficient, and welcoming front-of-house service
, while ensuring accurate administration, effective communication with clinicians, and high standards of patient care.
This role requires prior experience in a dental practice environment and confidence managing patients, appointments, payments, and enquiries in a busy clinical setting.
Key Responsibilities
Patient & Front-of-House Services
Act as the first point of contact for patients entering the practice, providing a friendly, professional, and calm welcome
Ensure patients are checked in promptly on arrival and that clinicians are informed accordingly
Handle patient enquiries in person, by telephone, and via email in a clear and professional manner
Send communications to patients using their preferred method (SMS, email, or phone), including appointment confirmations and follow-ups
Telephone & Appointment Management
Answer incoming calls politely, efficiently, and in a timely manner
Book, amend, and manage appointments both in person and over the phone
Maintain well-organised appointment diaries to support clinical efficiency
Administration & Records
Ensure patient records are accurately maintained, kept up to date, and stored securely in line with GDPR and confidentiality requirements
Carry out general administrative duties, including scanning, photocopying, and document management
Place and receive orders from suppliers where appropriate to the role
Financial Duties
Take patient payments accurately and professionally
Carry out daily cashing up and payment reconciliation
Complaints & Professional Conduct
Act as the
first point of contact for patient complaints
, remaining calm, professional, and empathetic
Demonstrate confidence in the practice complaints procedure and escalate matters to the Complaints Manager as required
Essential Requirements
Previous experience working as a Dental Receptionist
Knowledge on Exact software would be advantageous.
Basic knowledge on Outlook, Word & Excel.
Strong communication and interpersonal skills
High level of organisation and attention to detail
Ability to work effectively in a fast-paced clinical environment
Professional manner with patients, clinicians, and colleagues
