Role Description
Swann-Morton are seeking a highly organised and detail-oriented
Export Shipping Administrator
to join our team. In this role, you will coordinate and execute all export shipping activities, ensuring the accurate and timely dispatch of goods to our international customers. You will work closely with freight partners, internal departments, and overseas clients to keep shipments on track and documentation fully compliant.
Key Responsibilities
Prepare, review, and manage export documentation, including commercial invoices, packing lists, certificates of origin, bills of lading, and export declarations.
Coordinate bookings with freight forwarders, carriers, and logistics partners.
Monitor shipment progress and proactively resolve any delays or issues.
Liaise with international customers regarding shipping instructions, documentation requirements, and delivery timelines.
Communicate with Sales, Warehouse, Production, and Accounts teams to ensure order readiness and documentation accuracy.
Provide shipment updates, ETAs, tracking details, proof of delivery, and support in resolving issues.
Maintain accurate records for all export transactions.
Validate customs entries and support customs brokers as needed.
Conduct documentation audits and maintain compliance files.
Support internal and external audits related to export activities.
Manage freight cost approvals, invoice checks, and associated documentation.
Contribute to continuous improvement of shipping processes and workflow efficiency.
Skills & Qualifications
Excellent organisational skills and strong attention to detail.
Clear and confident verbal and written communication skills.
Ability to work collaboratively within a team and meet deadlines.
Proficient in Microsoft Office and ERP/shipping systems.
Desirable Experience
Previous experience in export administration, international logistics, or a similar shipping role.
Understanding of export documentation, Incoterms, and procedures (e.g., EUR1, Letters of Credit).
Experience working with freight forwarders and customs brokers.
Knowledge of specific export and customs procedures.
