Job Title: Facilities Administrator
Location: Bordesley Green
Department: Facilities
Pay: 13.22 per hour
Hours: Monday - Friday, 8:00am - 2:00pm
Type: Temporary, ongoing
About the Role
Our client is looking for a highly organised and proactive Facilities Administrator to join their team in Bordesley Green. This role is essential for ensuring smooth operations within the Facilities Department, providing administrative support, managing a virtual helpdesk, and coordinating with internal teams and external contractors.
You will play a key role in keeping the department running efficiently, ensuring all administrative processes are handled accurately and on time.
Key Responsibilities

  • Provide comprehensive administrative support, including preparing letters, reports, and spreadsheets.
  • Liaise with contractors, suppliers, professional bodies, and external consultants.
  • Maintain organised electronic and hard copy filing systems.
  • Professionally handle incoming calls and enquiries.
  • Process invoices and petty cash in line with finance procedures.
  • Monitor stock levels, obtain quotations, and place orders.
  • Schedule inspections and maintain team diaries.
  • Arrange meetings, take minutes, and distribute relevant documentation.
  • Collect and input data for reports and dashboards.
  • Support ID card requests and provide cross-cover for other administrators as required.
Essential Qualifications & Experience
  • NVQ Level 2 in Business Administration, RSA3, or equivalent administrative experience.
  • Excellent telephone manner and accurate message-taking skills.
  • Ability to take accurate notes and minutes during meetings.
Desirable Qualifications & Experience
  • NVQ Level 3 in Business Administration.
  • ECDL certification.
  • Customer Care training.
  • Previous experience in NHS or healthcare settings.
  • Knowledge of Facilities functions (Estates, Hotel Services, Catering).
