VANRATH are excited to be working alongside a leading Legal/Professional Services organisation with a great reputation for the recruitment of a Workplace Coordinator.
This is a role in the company's Belfast office. This is a Monday - Friday position - Flexibility can also be offered - later start or early finish.
Salary is 24,765 37.5 hours a week
Permanent position.
Workplace Coordinator
We're looking for a proactive, organised, and people-focused Workplace Coordinator to become an integral part of our team. In this client-facing role, you'll be responsible for ensuring the office environment is welcoming, efficient, and always running smoothly. From managing meetings and events to supporting day-to-day operations, you'll play a vital part in delivering a seamless experience for both colleagues and visitors.
Key Responsibilities
Act as the first point of contact for all visitors, creating a professional and welcoming atmosphere
Manage meeting rooms, event logistics, catering, and AV setup to ensure everything runs seamlessly
Oversee incoming and outgoing post, couriers, and deliveries
Keep shared spaces, kitchens, and supplies well-stocked, clean, and organised
Respond promptly to queries and requests via phone and email
Provide general administrative support, including printing, scanning, and document handling
Liaise with suppliers, vendors, and service providers to maintain high service standards
Occasionally assist with early morning or evening events (hours agreed in advance)
What We're Looking For
Minimum 1 year's experience in a similar front-of-house or office coordination role
Background in legal or professional services environments is an advantage
Confident with Microsoft Outlook, Word, and AV equipment
Professional, polished, and approachable with a positive, can-do attitude
Calm, adaptable, and solutions-driven, even in fast-paced situations
Strong communication, organisational, and time management skills
