Join our Investment & Property Management team at Bidwells, where we manage a diverse portfolio of commercial properties for prestigious clients including Cambridge Colleges, institutions, property companies and family trusts.

We take a long-term view, particularly in managing endowment funds, and our remit often includes full asset management responsibilities - covering everything from rent reviews and lease renewals to development opportunities and strategic acquisitions or disposals.



This role will be based at our Cambridge Science Park office, where you'll be supporting our facilities and property managers in delivering exceptional service and driving process improvements.

Working hours are 37 per week: Monday to Thursday, 9:00am-5:30pm, and Friday, 9:00am-5:00pm.

What you'll be doing:





Buildings & Site Management

Supporting service charge management, including budget and reconciliation packs. Logging monthly utility meter readings and managing tenancy changes. Assisting with service delivery improvements and tenant communications. Visiting properties for meter readings, issue resolution and documentation. Performing general admin tasks (e.g. scanning, filing) and helpdesk support via systems like E-logbooks. Co-ordinating contractor access and quotes.

Portfolio Activity

Building knowledge of estate activities, including landlord works and tenant movements. Promoting collaboration and development within the team.

Customer Relationship Management

Assisting with client instructions, invoice approvals, meeting agendas and trackers. Supporting tenant engagement and updating Property Handbooks.

Inspections

Scheduling and preparing documentation for inspections. Following up on inspection actions, particularly health & safety and remedial works.

Compliance & Procedures

Generating monthly reports from the Property Management Database and liaising with Asset Managers. Logging and managing health & safety data, ensuring documentation is correctly stored and compliant.

Database & Records Management

Maintaining accurate records across property, accounting, H&S and contractor systems.

Financial Processes

Setting up and authorising jobs or purchase orders. Coding and approving invoices whilst managing building project trackers.

Reporting

Supporting KPI tracking and reporting using internal systems.

About You:



Essential



Strong IT skills with a minimum of intermediate level in MS Excel, Word, Outlook, PowerPoint and PDF editor Aptitude to learn new technologies Ability to prioritise and deal with a varied workload and the competing demands of the team A self-starter with the ability to work on own initiative and a can-do approach to teamwork Pro-active & excellent problem-solving skills Excellent verbal and written communication skills with the ability to build relationships quickly with internal and external stakeholders Numerate with a high level of attention to detail Good team worker with excellent interpersonal skills Enjoys a fast-paced and teamwork environment

Desirable



Experience with Facilities or Property Management, Health & Safety, Compliance and/or Helpdesk/job log activities and systems Direct management/supervision experience of staff/suppliers and third-party contractors Customer/client service experience Similar experience within a direct competitor organisation
