Role Overview



The Facilities Coordinator will act as the main point of contact for clients, subcontractors and internal teams, ensuring facilities requests are logged, managed and completed efficiently. This role is central to the coordination of reactive and planned maintenance within a facilities management environment.

Key Responsibilities



Receive, log and manage facilities maintenance requests via phone, email and our helpdesk system. Track jobs from logging through to completion, ensuring SLA and KPI targets are met. Dispatch work orders to engineers and subcontractors promptly and accurately. Update our internal system on job progress in a clear and professional manner. Review job notes, reports and updates from engineers, ensuring they are detailed and compliant. Approve or escalate remedial works where required. Ensure planned maintenance schedules are booked and completed on time. Support compliance tasks including raising PPMs, reviewing certification and uploading documents. Coordinate with subcontractors including job allocation and quotation chasing. Handle client queries, ensuring resolution or escalation where required. Assist with administrative tasks, system updates and reporting duties. Promote a strong customer service culture at all times.

Skills & Experience Required



Experience working within a facilities management helpdesk or service coordination role (preferred).

Familiarity with reactive maintenance workflows preferred.

Strong communication skills - both written and verbal.

Excellent customer service mindset.

Ability to handle high call and ticket volumes in a fast-paced environment.

Strong organisational and multitasking abilities.

Competent IT skills including Microsoft Office and helpdesk / CAFM systems.

Ability to work independently and as part of a team.

Problem-solving skills and a proactive approach.

Job Type: Full-time

Pay: 26,000.00 per year
