As a key member of our Facilities team, you will support the smooth day-to-day running of the building, ensuring that our hospital remains safe, welcoming and efficiently operated for patients, visitors and staff. Working as part of a rota (including some Saturdays) you will provide essential operational, administrative and front-of-house support, while assisting the Operations Manager across a range of facilities functions.

What You'll Be Doing

Facilities & Front of House Support

Supporting the daily running of reception workflows and ensuring a professional, friendly experience for all visitors. Assisting the Operations Manager with compliance, administrative duties and general facility-related tasks. Coordinating day-to-day housekeeping and caretaking activities, escalating issues as required. Conducting routine building and housekeeping checks to ensure all areas remain safe, clean and well-presented. Helping resolve site-related issues and liaising with external contractors, building management and emergency services when needed. Supporting key-holding responsibilities, including opening and closing the building (as required).
Contractor & Supplier Coordination

Acting as a point of contact for contractors attending the site. Maintaining contractor files and supporting the collection of quotes for supplies or services. Coordinating contractor access and monitoring on-site works. Assisting with basic procurement tasks and identifying suitable options for minor works or purchases.
Administration & Record Keeping

Ensuring accurate data entry into the Practice Manager system and supporting internal databases. Assisting with invoicing, payments and basic credit control tasks. Supporting documentation, filing, archiving and general facilities administration. Assisting with space management and the movement/storage of equipment. Supporting the archiving of patient files and business documents. Helping maintain the Asset Tracking system and assisting with routine audits. Maintaining accurate databases and supporting general system functionality.
Health & Safety Assistance

Supporting staff in following Health & Safety procedures and reporting hazards. Assisting with updates to H&S documentation and supporting risk assessments. Reporting incidents, equipment issues or accidents promptly. Helping uphold hygiene and cleanliness standards across facilities areas. Acting as Fire Marshall while on duty (training provided). Assisting with Code Blue drills and other emergency-preparedness activities. Supporting the development of safe working practices within the Facilities team.

What We're Looking For

A proactive, organised individual with strong communication skills. Someone who enjoys working in a hands-on, varied role. Ability to multitask, use initiative and provide excellent service to staff and patients. Experience in facilities, front-of-house or a similar operational role is desirable (though training will be provided). Comfortable working in a clinical or hospital environment.
Job Types: Full-time, Permanent

Pay: 25,000.00-27,000.00 per year
