Businesses want to focus on what they do best; running their business. But monthly hardware fees, different rates for different cards, extra costs on every transaction and frequent price increases have made payments too stressful. That's why we started Flatpay. One flat rate across all cards - that's it.
We're already more than 1,000 people across Denmark, Finland, Italy, Germany and France and recently launched in the UK.
Location: London Office (Soho Works, White City), 5 days a week
What you'll do
Responsibilities:

  • Oversee the daily running of the London office, ensuring a safe, functional, and welcoming workspace.
  • Manage supplier relationships and contracts (cleaning, vending, maintenance, consumables, fleet, mobility services).
  • Coordinate office maintenance, repairs, and workplace safety compliance, acting as the office point of contact for health & safety matters.
  • Order and manage office supplies, snacks, drinks, and consumables.
  • Support onboarding of new joiners (workstations, laptops, phones and phone numbers, ID cards, business cards, access cards).
  • Set up and maintain office equipment and furniture (screens, standing desks, ergonomic gear).
  • Organise warehouse and stock management for IT, marketing, and merchandise.
  • Monitor and manage company fleet, fuel cards, and mobility accounts (e.g., Zipcar, RingGo).
  • Provide operational support for internal events, workshops, and meetings, including meeting room preparation.
  • Carry out light maintenance and ad-hoc housekeeping where needed (tidying, restocking, supporting logistics).
  • Assist with moving and setting up equipment or storage areas as part of day-to-day logistics.
  • Identify and implement process improvements to increase efficiency and reduce costs.

Skills & Attributes
  • Organised, detail-oriented, and able to manage multiple priorities.
  • Comfortable with supplier management and contract negotiation.
  • Hands-on and practical, able to handle light maintenance and daily operational needs.
  • Strong communication and relationship skills.
  • IT literate, confident setting up basic equipment (workstations, screens, cabling).
Background
  • Experience in facilities, office management, or a similar operational role.
  • Knowledge of workplace health & safety requirements in the UK.
  • Comfortable managing both strategic and hands-on responsibilities.
  • Flexible and proactive, able to adapt quickly in a fast-growing business.
