Job Description

The Facilities Office Host is responsible for ensuring that the workplace environment is welcoming, safe, and well-maintained. This role supports the daily operations of the Facilities function, helping to ensure that all office services and amenities run smoothly. It involves hands-on cleaning duties, daily supervision of staff, quality checks, and coordination with the reception team to maintain high standards of hygiene and appearance across all office areas.
The Office Host plays a key role in maintaining a positive, efficient, and productive experience for all employees and visitors.
Key Responsibilities:
Front-of-House & Customer Service:

  • Greet and assist visitors, staff, and contractors in a professional and friendly manner.
  • Oversee facilities amenities, ensuring all areas are clean, well-stocked, organized, and reflect company standards.
  • Support meeting room bookings, catering, and event setup as required.
  • Ensure the office environment consistently meets corporate standards of cleanliness, comfort, and safety.
  • Supervise a small team of cleaning operatives, ensuring tasks are completed to a high standard and within agreed timeframes.
  • Allocate cleaning duties across office areas (desks, meeting rooms, restrooms, kitchen, reception, etc.) in line with the cleaning specification.
  • Conduct regular inspections to maintain quality, cleanliness, and compliance with health and safety standards.
  • Provide training, coaching, and performance feedback to team members to support their development.
  • Manage staff attendance, rotas, and cover arrangements for absences or leave.
Workplace Support:
  • Manage and acknowledge reactive tickets within the agreed SLA's in the central CAFM system, covering PPMs, reactive tasks, and projects.
  • Act as the first point of contact for maintenance attendance, responding promptly and professionally.
  • Escort service providers and contractors where required.
  • Maintain clear communication with the Hard Services team, assisting with the smooth execution of maintenance work and minimizing disruptions.
Health, Safety & Compliance:
  • Conduct regular checks to ensure compliance with health, safety, and environmental regulations.
  • Maintain COSHH (Control of Substances Hazardous to Health) documentation and ensure proper chemical handling.
  • Support emergency response procedures, including fire alarm testing, evacuation drills, and first aid equipment checks.
  • Report hazards or incidents promptly and support the implementation of corrective actions.
  • Support waste segregation and recycling initiatives in line with the client's sustainability goals.
Administrative Support:
  • Assist with regular stocktaking of consumables and purchase orders.
  • Provide general administrative support to the Account Manager and Hard Services team.
Skills and Experience Required:
  • Proven experience in a cleaning supervisory role, preferably within a corporate or commercial office environment.
  • Strong leadership and team coordination skills.
  • Excellent attention to detail and commitment to high cleaning standards.
  • Knowledge of cleaning procedures, materials, and equipment.
  • Good understanding of workplace health and safety regulations, including COSHH.
  • Reliable, organized, and proactive with good communication skills; able to act on their own initiative.
  • Computer Literate.
  • Innovative.
Qualifications (Preferred):
  • Level 2/3 Certificate in Cleaning and Support Services or equivalent.
  • Health and Safety training (e.g., IOSH Working Safely).
  • First Aid or Fire Warden training.
Working Hours:
Full-time, Monday to Friday, 8:00 am - 5:00 pm]
Flexibility may be required for office events or deep cleaning schedules
