We're looking for a
well-organised, proactive and people-focused Finance Administrator / Schools Coordinator
to join our small, passionate team. This is an exciting opportunity for someone who's great with numbers, enjoys planning and problem-solving, and wants to make a real difference to young people's musical journeys.
No prior finance experience? No problem! Training and ongoing support will be provided. If you're organised, detail-oriented and eager to learn, this could be the perfect role for you.
Key Responsibilities
Finance & Payroll
Assist with preparing and processing payroll for teachers and staff.
Collect and check teaching hours, contracts, and holiday requests.
Raise invoices for parents, schools, and partners, and follow up on payments.
Reconcile financial transactions and maintain accurate financial records.
Track and record expenses, receipts, and petty cash.
Support budgeting and financial reporting under guidance from leadership.
School Coordination & Scheduling
Plan the term calendar and liaise with Heads of Music in our partner schools.
Schedule music lessons and communicate with teachers and students.
Manage lesson bookings, cancellations and changes using
My Music Staff
software.
Welcome and onboard new students, ensuring they're added to systems and invoiced correctly.
Coordinate with schools to develop new contracts and maintain strong relationships.
Teacher & Admin Support
Help onboard new teachers: schedule interviews, conduct DBS and ID checks, collect references, and set them up on systems.
Manage day-to-day communications with teachers, solving scheduling or logistical issues.
Order and manage office supplies, props, and equipment.
Support planning and delivery of Anthem concerts and events.
Provide general administrative support to the School Director and wider team.
About You
We're looking for someone who is:
Organised and accurate
- enjoys structure, lists and making sure things are done properly.
Good with numbers
- confident using spreadsheets and working with invoices or payroll data.
A great communicator
- clear, friendly and professional with parents, teachers and schools.
Tech confident
- comfortable learning new systems like "My Music Staff" and using Excel or Google Sheets.
Proactive and reliable
- spots potential problems before they happen and takes initiative.
Eager to learn
- keen to grow your skills in finance, admin, and business operations.
Essential:
Driving licence and access to a car (visiting schools may be required).
Desirable:
Experience in a school, office, or administrative environment.
Familiarity with accounting software (e.g., Xero, QuickBooks or Sage).
Interest in music, education, or youth development.
