Job title: Finance & Admin Officer

Reporting to: Deputy Chief Executive

Salary: 30,000 - 35,000 pro rota dependant on experience. Plus, pension and staff sickness scheme

Based: Heel & Toe Main Therapy Centre, Pelton, Chester-le-Street

Period: Permanent position

Hours: 22.5 - 25 hours (flexible working days)

Annual Leave: 28 days per annum, pro rata

Purpose

There has never been a more exciting time to join Heel & Toe Children's Charity. We are a 1 million a year, regional charity, that is in our 17th year. We own and operate from two therapy buildings in the Chester-le-Street area. We offer disabled children a wide range of free and subsidised therapies, including physiotherapy, hydrotherapy, sensory integration, massage therapy and conductive education.

The Finance & Admin Officer plays a crucial role in ensuring the smooth and efficient financial and administrative operations of Heel & Toe. We are seeking a proven, experienced individual for this position, capable of multi-tasking in a busy office environment across IT, fundraising support, and helping senior management with financial operations and planning, while also being responsible for maintaining accurate financial records, supporting the budgeting process, managing day-to-day administrative tasks, and ensuring compliance with financial regulations and charity governance.

Key Responsibilities

Finance

Maintain accurate and up to date financial records using Xero.

Maintain accurate and up to date records using Donorflex fundraising database.

Work with the therapy team to manage financials using Cliniko management software.

Process all income and expenditure including invoicing, payments and reconciliations.

Monitor and chase outstanding debtors.

Reconcile bank accounts daily.

Assist in the preparation of annual budgets and forecasts.

Generate financial reports for internal use (e.g budget vs actuals) and external stakeholders (e.g grants)

Support the annual audit process, providing necessary documentation and information.

Process Gift Aid claims accurately and submit to HMRC.

Manage insurance and utility renewals.

Attend meetings and report on financials, as required, to support the senior management team.

Administration

Manage office supplies and equipment.

Assist with inductions of new staff (e.g setting up IT, training).

Act as the primary contact for general enquiries.

Liaise with external IT support providers as needed.

Provide office support for staff in both Therapy Centres.

General administrative and support tasks as and when required.

Essential for Post

Minimum 5 years accounts and financial experience.

Experience with financial record keeping and basic accounting principles.

Proficient in using accounting software (Xero), IT literate, excel and databases.

Strong organisational and time management skills, with the ability to prioritise and meet deadlines.

Excellent attention to detail and accuracy.

High level of integrity and discretion when handling confidential information.

Ideal candidate

Formal accounting qualification (e.g. AAT 2/3).

Experienced using Donorflex fundraising database or similar.

Experienced using Cliniko management software or similar.

Experienced working in a charity setting.

Ability to work independently, as well as part of a small team.

Willingness to support the charity in its fundraising and PR activities.
