Position Overview:
We are seeking a detail-oriented and proactive Part-Time Finance and Administration
Officer to manage and streamline our financial and administrative processes. This role
involves close collaboration with the Manager to support effective financial planning,
budgeting, and contract management. The ideal candidate will have experience with Xero
accounting software, strong organizational skills, and a hands-on approach to problem-
solving, cash flow management, and supplier relationships.
Key Responsibilities:
1. 1. Accounts Payable (Purchase Ledger):
Enter all purchase and supplier invoices into Xero as they are received, ensuring accurate
filing and record-keeping.
Reconcile supplier statements monthly, resolving discrepancies promptly.
Produce a creditors list of amounts owed to suppliers, manage cash flow, and arrange
relevant payments.
Work alongside the Manager to review and manage supplier contracts, ensuring value for
money and compliance with agreed terms.
Perform general administrative duties including filing, email/telephone communication
(both internal and external), scanning, and copying.
2. 2. Accounts Receivable (Sales Ledger):
Update residents' accounts in Xero and post receipts for bank payments received.
Raise monthly invoices, update accounts, and ensure timely follow-up on overdue
balances.
Handle resident or family inquiries regarding payments and account queries.
Enter new residents' details into Xero with information provided by the Senior Carers.
Provide regular financial updates to the Manager to support accurate reporting and
decision-making.
3. 3. Payroll and Financial Support:
Assist the Manager with payroll spreadsheets and rota management.
Liaise with accountants for 4-weekly payroll processing, journal P32 entries into Xero, and
ensure payments are made by the 19th of each month.
Support the Manager in financial forecasting, budgeting, and expenditure tracking.
Qualifications:
Experience with Xero accounting software.
Strong organizational and administrative skills.
Excellent attention to detail and accuracy.
Good communication skills, both written and verbal.
AAT qualified, part qualified, or qualified by experience.
Experience in the care sector (preferred).

Pay: From 15.00 per hour
