Working in a friendly, front of house school office environment with a supportive team and great parents and pupils.
Core purpose and responsibilities:
To undertake the day-to-day administration of the school's financial systems and assist in the management of finance and resources within the school.
Assist the Headteacher/SBM in ensuring that financial and statutory regulations and procedures are adhered to.
To work within the School Administrator with 'Front of House' responsibilities and be part of the wider Administration Support Staff of the school.
To monitor and report on whole-school attendance data, analysing data to identify key areas of concern.
To work closely with pupils, staff, parents and carers to reduce levels of absence.
Key Responsibilities
Main Finance Duties:
Process purchase orders, invoices, and payments in line with school financial procedures
Assist in budget monitoring and provide administrative support to the School Business Manager.
Monitor online banking entries regularly and ensure cash flow is in order, reporting any concerns to the SBM.
Update Budget Holders monthly and monitor balance within each budget.
With the support of SBS, carry out procedures and work for annual year end including system housekeeping, correct carry forward, update budget spreadsheet, and necessary returns to LA for the new financial year.
To be responsible for and assist with the prompt collection of monies due to the school.
Set up finance records at the beginning of the financial year and archive the previous years.
Any other duties within the scope of this function as directed by the Headteacher and SBM.
Main Attendance Duties:
Ensure daily attendance registers are accurate and complete, and follow up with staff members about any incomplete data.
Follow up on any unexplained absences with parents/carers, escalating issues as appropriate in line with school procedures.
Initiate and oversee the administration of absence procedures, for example letters home, attendance clinics and engagement with local authorities/other external agencies and partners.
Maintain accurate records of communications with parents/carers and relevant interventions
Identify pupils that need additional support to improve their attendance
Coordinate meetings with parents/carers to implement interventions and track progress and lead weekly check-ins to review progress and the impact of interventions. Maintaining accurate records.
Build positive relations with parents/carers to encourage family involvement in their child's attendance
Take opportunities to build the appropriate skills, qualifications, and/or experience needed for the role, with support from the school
Work with the designated safeguarding lead (DSL) to promote the best interests of pupils, including sharing concerns where necessary
Any other duties within the scope of this function as directed by the Headteacher and SBM.
