Finance Coordinator

Job Description

The Finance Coordinator will be responsible for maintaining accurate financial records, supporting budgeting and reporting processes, and ensuring the effective financial management of the organisation. They will play a key role in ensuring compliance with financial policies and procedures, supporting operational decision-making, and helping to sustain the organisation's community-focused work.

Key Responsibilities and Tasks



Financial Management



Maintain accurate and up-to-date financial records using VT accounting software. Process monthly income and expenditure ensuring all transactions are reconciled. Monitor cash flow, prepare bank reconciliations, and support day-to-day financial operations. Prepare and process monthly payroll and liaise with external payroll provider. Produce ad-hoc financial reports as and when required by Board of Directors. Ensure taxes are paid promptly and HMRC reporting is completed by required deadlines. Manage relationship with pension provider and ensure pension obligations are met. Prepare quarterly VAT returns. Maintaining EPOS back office

Budgeting and Reporting



Assist with preparing annual budgets, forecasts, and financial plans in collaboration with Managing Director. Produce and present monthly management accounts and financial reports for Board meetings. Monitor expenditure against budgets and alert management to variances. Support preparation of year-end accounts and work with external auditors or independent examiners.

Funding & Grants



Maintain accurate records of restricted and unrestricted funds.
Track and report on project and grant budgets, ensuring compliance with funder requirements.
Highlight risk of overspend for projects and grants.
Support preparation of financial reports for funding applications and monitoring returns.

Systems & Compliance



Ensure all financial processes comply with legal, regulatory, and charity finance requirements.
Maintain and develop efficient financial systems and procedures.
Support the development of financial policies and assist in internal controls.

Other Duties and Responsibilities



General Administration
To attend training programmes and meetings as required.
To carry out any additional duties within the spirit of the post.

PERSON SPECIFICATION



Essential Criteria



Committed to high standards of delivery

Ability to plan and handle peak periods of activity (e.g month, quarter and year end)

Strong interpersonal skills, able to build and maintain professional relationships with a wide range of stakeholders

Fully qualified recognised CCAB qualification or qualified by experience

At least 3 years experience of working in a similar financial role

Understanding of funding streams and project based accounting

A working knowledge of VT Software and payroll packages; good working knowledge of Excel.

Experience of wider governmental Companies House, OSCR, HMRC etc.

Excellent attention to detail, accuracy and organisational skills

Able to plan and work independently and effectively, delivering to schedule

Strong written and verbal communication skills

Analytical skills

Desirable Criteria



An understanding of local government contracts and grants.

Experience of working in Third Sector/charity organisations.

A clear understanding of the overall aims and objectives of the organisation
