Job Title: Finance & Governance Operations Officer Responsible To: Charity Manager Responsible For: Admin/Communications Officer Hours Per Week: 30-34 hours (to be discussed) Salary: 28,000 to 30,000 per annum (dependent on experience and qualifications) Base: Office-based (Handforth) with occasional travel Main Role The Finance & Governance Operations Officer plays a key role in the day-to-day running of the charity. This includes: o Overseeing financial administration and operational tasks o Supporting the Board in governance matters o Completing all routine finance functions o Maintaining organisational systems to support Time Out Group's activities
Key Responsibilities 1. Financial Administration o Manage daily financial operations using QuickBooks and banking software o Promptly process vendor invoices in accordance with authorisation procedures o Raise timely invoices to members o Perform banking tasks including deposits, assignments, bank reconciliations, and inter-account transfers o Liaise with the external charity accountant o Act as point of contact with external payroll provider, process timesheets, and prepare payroll and payment files o Negotiate utility contracts and services
Monitor financial performance of projects and produce monthly income statements, P&L reports, and cashflow forecasts o Work closely with the Charity Manager, Treasurer, and Project Manager to ensure financial accuracy o Adhere to and improve financial governance and control systems 2. Governance Support o Assist the Chair of Trustees with agenda planning and meeting preparations o Provide minute-taking support at Board meetings o Support trustee onboarding including DBS checks, IT setup, and systems access o Maintain schedule and records for policy and procedure reviews o Assist the Charity Manager with Board reporting requirements 3. Operations & General Support o Act as point of contact for premises issues including liaising with leaseholders and arranging building maintenance o Oversee purchasing and budget tracking of office and operational supplies o Provide basic IT support and coordinate IT-related tasks o Ensure subscriptions and renewals (e.g., insurance, software) are up to date o Support bid writers with relevant financial information for funding applications o Assist Charity and Deputy Managers in project delivery and monitoring outcomes o Develop tools for tracking income, expenditure, and financial reporting 4. Line Management o Directly line-manage the Admin/Communications Officer o Provide regular support, development, and supervision in line with team goals 5. Organisational Contribution o Maintain a broad understanding of Time Out Group's activities and contribute ideas for improvement
Demonstrate commitment to quality service and uphold charity values o Engage in personal development, training, and appraisals o Attend regular 1:1 meetings, team meetings, and the Annual General Meeting o Foster positive relationships with staff, trustees, and external partners o Comply with all charity policies and procedures Person Specification Essential o Experience working in a finance or accounting environment o Knowledge of monitoring budgets and financial plans o Excellent attention to detail and accurate data input o Effective workload management and time prioritisation o Advanced IT and keyboard skills, with strong proficiency in Excel, Word, and general ledger systems o Strong communication and interpersonal skills o Ability to work both independently and collaboratively o Flexible approach and ability to meet deadlines o Minimum GCSE Grade C (or equivalent) in English and Maths o Bookkeeping or accounting qualification (AAT or equivalent) desirable Desirable o Experience in the charity or not-for-profit sector o Experience using QuickBooks or a similar financial management system.
