Job Summary:
The Finance Officer is responsible for managing all aspects of income and expenditure within the organisation. This includes monitoring and analysing financial data, preparing financial reports, and overseeing both the sales and purchase ledgers. The role involves ensuring accurate and timely invoicing, payment processing, and collections, as well as compliance with financial regulations. The Finance Officer will also provide financial advice and support to senior management.
This position requires strong organisational skills, exceptional attention to detail, and the ability to work both independently and collaboratively with internal departments and external stakeholders.
Duties and Responsibilities:
Manage the company's income generation activities, including invoicing, payment processing, and collections.
Monitor and analyse financial data, ensuring accuracy and completeness.
Monitor and reconcile accounts receivable and accounts payable to ensure accuracy and timely payments.
Assist in month-end and year-end closing activities relating to both income and expenditure.
Maintain and update both the sales ledger and purchase ledger, ensuring all customer and supplier records are accurate and up to date.
Generate and process invoices for services provided, and accurately record supplier invoices received, including checking for correct pricing, discounts, and payment terms.
Manage trade counter payments, including secure card transactions from customers.
Set up and maintain new customer and supplier accounts in the finance system.
Monitor and follow up on outstanding customer payments to ensure timely collection.
Work closely with the sales and purchasing teams to resolve billing queries or supplier invoice discrepancies.
Prepare and distribute regular financial reports, including aged debtor/creditor reports and cash flow statements.
Monitor credit limits and payment terms for both customers and suppliers, ensuring adherence to internal policies.
Maintain accurate financial records in compliance with accounting standards and regulatory requirements, recommending improvements to systems and processes as needed.
Provide financial insights and support to senior management to aid strategic decision-making.
Identify and suggest opportunities for cost savings or revenue enhancement.
Ensure the confidentiality of all financial, customer, and supplier information.
Support the training and mentoring of junior finance staff, encouraging continuous professional development.
Qualifications and Skills:
A recognised accounting qualification (e.g., AAT) is preferred.
Previous experience in a finance or ledger-based role (sales and/or purchase ledger) is essential.
Strong understanding of financial processes and reporting.
Proficient in using accounting software and advanced Excel functions.
High level of accuracy and attention to detail.
Strong analytical and problem-solving skills.
Effective communication and interpersonal skills.
Able to work both independently and collaboratively.
Excellent organisational and time management abilities.
Proven ability to prioritise tasks and meet tight deadlines.
Working knowledge of relevant financial regulations and compliance standards.
