Job purpose
To support the effective financial management of TSL Kirklees through accurate processing, monitoring, reporting, and administration of financial activities. This includes maintaining the organisation's accounting records, supporting project finances, preparing reports, and ensuring compliance with internal policies and external requirements.
Main duties and responsibilities
1. Finance Support & Bookkeeping
Monitor income and expenditure in line with financial procedures and policies.
Review and code payments, including invoices, credit card transactions, and petty cash.
Enter income onto QuickBooks and oversee accurate data entry of expenditure.
Raise invoices for contracts, grants, and other income sources.
Oversee the payment of bills, ensuring compliance with procedures and timely payment.
Add new funding streams to QuickBooks, setting up recurring journals and budgets.
Actively manage and chase outstanding debtors for prompt payment.
2. Budgeting & Financial Planning
Support the Finance Manager in preparing budgets, forecasts, and cashflows.
Coordinate with Project Managers to collect required data for budget preparation.
Develop budget templates and assist in preparing class-wise, month-wise, and overall budgets.
Upload budgets onto QuickBooks.
Monitor the monthly breakdown of salaries against funding allocations.
Prepare and post journals, including recharges and recurring entries.
Support the Finance Manager with preparation of year-end accounts and liaising with auditors.
3. Financial Reporting
Produce supporting schedules for the quarterly management accounts.
Assist with quarterly management reports, including Financial forecasts, Trend analysis & Graphical data presentation.
Prepare and maintain accurate financial reports for projects and contracts.
Produce financial information required for external funding claims.
Support Project Managers in maintaining accurate financial records, raising concerns on any underspend/overspend.
4. Reconciliations & Controls
Perform regular bank and credit card reconciliations.
Reconcile aged debtors and creditors.
Conduct balance sheet reconciliations and process year-end accruals.
Perform Budget vs. Actuals analysis and support forecasting updates.
5. Systems Administration
Administer BreatheHR, including employee setup, holiday calculations, and updates.
Manage Flick Learning - assign training to staff and monitor completion.
Maintain the Room Booking Purchase Order Sheet.
6. General & Team Support
Provide information and support to the external auditor during the audit process.
Deputise for other members of the Finance Team when required.
Undertake additional tasks as needed to support the aims and operations of TSL Kirklees.
Work in a manner consistent with TSL Kirklees values and the spirit of its Strategic Plan, policies, and procedures.

Relevant accountancy qualifications or equivalent work experience
Essential Criteria
Experience
Previous work experience in a Finance Assistant, Finance Officer or similar role
Experience of using QuickBooks or other similar online accounting software
Experience of successfully supporting the administration and finances of an organisation
Experience of supporting financial administration for various projects.
Skills
Excellent numerical and written communication skills, with a good eye for detail, and the ability to spot errors.
Willingness to learn and acquire new skills.
Excellent organisational skills

Recognised accountancy qualification
Experience of working in an infrastructure organisation.
Recent finance/accounting experience.
Experience of working in the VCSE sector in Kirklees.
Bilingual or multi-lingual.
