The PBFA organises antiquarian and vintage book fairs around the UK, and is led by a National Executive Committee.
The Finance Officer is a part-time member of staff employed by the PBFA at its office in central Royston, Hertfordshire. He/she is responsible for the management of the financial affairs of the PBFA, including payroll of two other office staff, and liaises with the Honorary Treasurer.
Management of the PBFA's accounts, to include:
1. On an ongoing basis:
a) Online banking, and handling of online Stripe payment system;
b) Process invoices, and payment of salaries/remuneration;
c) Provide financial and budgetary advice to fair managers in regard to their fairs, and to advise PBFA officers on financial matters relating to the PBFA;
d) Maintenance of separate sub-accounts for each individual book fair (approx. 50 per year); preparing summaries for each fair - including a VAT reconciliation, profit/loss, sales and visitors' data; and providing the Chair, Hon. Secretary and Hon. Treasurer with copies in time for the appropriate NEC meetings;
e) Submission of quarterly VAT returns and monthly tax returns;
f) Provision of funds to Regions as requested.
2. On an annual basis:
a) Ensuring that the financial accounting software and hardware is maintained in a workable and current status; and ensuring that sufficient and appropriate backups are made. The PBFA currently operate
'Money Manager'
software.
b) Liaison with the PBFA's accountants, particularly during the preparation of the annual accounts in January & February, in time for submission to the accountants by 15th February. Completed accounts, in a form satisfying the requirements of the relevant statutory bodies, are required for issue to the Chair, Hon. Secretary and Hon. Treasurer by the end of March;
c) Preparation of a statistical fair summary of the previous financial year for the May NEC meeting to assist in identification of issues and trends;
d) Provision of quarterly trial balances, and financial reports as requested by the Hon. Treasurer;
e) Sorting, checking and banking of annual subscriptions, and follow up of issues;
f) Assisting, in liaison with the PBFA Administrator, with the general running of the PBFA office.
Requirements
The successful candidate must be: experienced, very numerate and methodical; competent to do monthly bank reconciliations and to prepare profit/loss accounts; able to work with Money Manager software; local to the Royston area.
Hours of Work
By agreement, but anticipated to be not more than 20 hours a week, although some degree of flexibility may be required.
