The Finance Officer contributes to the sound financial management of the Charity by supporting the Deputy CEO Business & Finance by administering accounting operations to meet legal requirement and will be responsible for the day-to-day management of our financial transactions and procedures.
The Finance Officer will be familiar with audits, invoices and budget preparations and in managing accounting activities, including bank reconciliations, accounts payable and accounts receivable. The Finance Officer will have excellent organisational and time management skills.
What you'll do:
Responsibilities
Keep accurate records for all daily transactions
Prepare balance sheets
Process bills, cheques, receipts, invoices and other documents
Prepare cheques for signature in accordance with the mandate and with supporting documentation
Ensure that rent, insurance and other periodic payments are made and that proof of payment is obtained.
Maintain, manage and reconcile petty cash records
Ensure all documents are properly signed and distributed
Ensure that payments are correctly authorised.
Enter data and maintain updated records
Ensure all financial transactions are recorded on the finance system Quickbooks
Day to day bookkeeping using QuickBooks financial package and Microsoft Excel.
Maintain filing systems
Verify financial and other data (e.g. tax identification numbers)
Monitor financial transactions
Record accounts payable and accounts receivable
Update internal systems with financial data
Prepare monthly, quarterly and annual financial reports
Monthly bank reconciliation
Assist with account reconciliations
Report the status of accounts and discrepancies
Participate in financial audits
Track bank deposits and payments
Assist with budget preparation
Implement financial policies
Place orders and ensure that proper documentation is kept for returns and that credit notes are obtained where appropriate.
Ensure that goods are ordered in accordance with agreed procedures.
Check supplier's statements and deal with queries.
Communicate with vendors, customers and colleagues
Supervision, Staff Meetings & Training
No direct supervision of staff.
Attend and contribute to staff meetings and one-to-one supervision meetings.
The post holder must be willing to attend training - QuickBooks is essential.
Basic qualifications
Strong analytical skills with attention to detail.
Proficiency in financial software for reporting and analysis.
Preferred qualifications
Bachelor's degree in Finance, Accounting, or a related field.
Experience with budgeting, forecasting, and financial reporting.
Knowledge of accounting principles and regulatory requirements.
