Finance & Operations Supervisor

Job Description

About the Role:

We're looking for a sharp, no-nonsense Finance & Operations Supervisor to help protect and grow our multi-site business. You'll be trusted to monitor figures across several studios, ensure no money goes missing, enforce accurate reporting systems, and help manage supplies, contracts, and rental income.

You'll work directly with the Director and take full ownership of financial accuracy, purchasing efficiency, and operational integrity across the group. If you're organised, confident, and not afraid to challenge discrepancies - this is for you.

Key Responsibilities:

Financial Oversight

- Check and reconcile figures across multiple shops (cash, till reports, card machines, booking systems)

- Investigate discrepancies, spot patterns, and raise concerns immediately

- Set up reliable systems and processes to ensure accurate daily/weekly reporting from all staff

Purchasing & Cost Control

- Order supplies and stock as needed across sites

- Ensure best pricing from suppliers and avoid unnecessary spend

- Review and compare costs such as electric, waste, and laundry across all studios

Property & Rent Management

- Oversee rent collection and payment schedules from sublet tenants

- Maintain accurate records of property income and flag late/missed payments

- Liaise with Director on lease renewals, increases, or tenancy issues

General Admin & PA Support

- Maintain key documentation (contracts, utility accounts, passwords)

- Support the Director with day-to-day business tasks and scheduling

- Work proactively to spot operational inefficiencies and improve systems

Requirements:

- Proven experience in finance, operations, or business administration (multi-site preferred)

- Strong systems knowledge - able to set up, enforce, and manage reporting processes

- Excellent organisational skills and attention to detail

- Confident communicator - able to challenge staff if figures don't add up

- High level of discretion and trustworthiness

- Full UK driving licence and access to a vehicle (essential)

- Proficient with Excel, Google Sheets, and accounting/till systems (e.g. Xero, QuickBooks, or similar)

Job Type: Part-time

Pay: 15.00 per hour

Expected hours: 16 - 24 per week
