The ideal Finance Supervisor will be methodical, responsible and self-assured, capable of effectively managing their own workload whilst providing essential support, advice and guidance to the junior members of the team. The Finance Supervisor will report to the Financial Controller, and then in turn to the Director of Finance, and will occupy a middle position in the hierarchy of the team, over the two more junior Finance and Accounts Payable Assistants. In practice, the Finance Supervisor will be responsible for the daily income audit, investigating and reporting any inconsistencies in a timely manner.
The main responsibilities of the role include:
Execute all tasks/requests as instructed by the Director of Finance and/or Financial Controller
Supporting the Director of Finance and Financial Controller with ad hoc duties and tasks as requested
Oversee all finance functions: accounts payable, receivable, income audit, banking and credit control.
Proactively support all members of the finance team and other departments who may require reasonable assistance related to financial tasks.
Carry out daily checks on revenue to ensure capture and accuracy.
Reconcile and monitor conference and banqueting revenue against daily function sheets
Ensure the POS and PMS systems balance daily, investigating and correcting any discrepancies
Record covers by day and outlet without error
Check non-arrivals, late departures, no sales/voids, management bills and pay-outs
Meticulously balance sales vat, logging any errors and coordinating their timely correction.
Upload daily revenue journals to the accounting system, ensuring revenues and statistics balance at the end of each month.
Monitor corrections and allowances
Ensure Advanced Deposits are current
Review the reconciliation report daily, arranging appropriate action for emergence of any balance.
Daily credit card reconciliations
Voucher reconciliations
Reconcile the monthly loyalty scheme account, accurately applying the accounts receivable payment, recognising any foreign exchange gain/loss
Prepare management allowance journals
Monitor hotel petty cash expenditure, ensuring it is within limits and supported with valid receipts.
Preparing and posting the monthly petty cash invoice
Deal with ad hoc guest enquiries
Act in accordance with Fire, Health and Safety regulations and follow the correct procedures when required
To ensure the timely and accurate production of all financial information to the company standard.
