To provide administrative and operational support to financial advisers and paraplanners, ensuring accurate processing of client instructions, compliance with regulatory standards, and delivery of exceptional client service. Must have previous IFA administrative experience.
Key Responsibilities
Client Servicing & Administration
Process new business applications, fund switches, withdrawals, and annual reviews accurately and within agreed timescales.
Maintain client records and ensure all documentation (fact finds, meeting notes, signed agreements) is complete and compliant.
Liaise with product providers to obtain valuations, policy details, and resolve queries promptly.
Workflow & Task Management
Use internal systems - (Plannr) to manage tasks, update case notes, and track progress.
Assign and delegate tasks appropriately, ensuring clear communication with paraplanners and advisers.
Compliance & Standards
Operate within FCA regulations and company compliance standards, including anti-money laundering checks and vulnerability assessments.
Ensure accurate record-keeping for audits and maintain confidentiality of client data.
Client Communication
Prepare and send client review invitations, summaries, and follow-up correspondence using approved templates.
Respond to client queries professionally and escalate complex issues to advisers when necessary.
Skills, Knowledge & Experience
Strong organisational skills with attention to detail and accuracy.
Excellent verbal and written communication skills; confident liaising with clients and providers.
Must be able to work individually, or as part of a team and comfortable with self training/learning.
Proficient in financial platforms and back-office systems
Knowledge of financial products (pensions, ISAs, GIAs, bonds, protection) and regulatory requirements.
Minimum 2 years' experience in a financial services administration role.
Relevant qualifications desirable (e.g., CeFA, CeMAP, Certificate in Financial Administration).
