Main Purpose of Job
Working under the supervision of the Practice Principal and Client Services Manager you will maintain and develop the relationship with Practice clients, you will assist in regular client management, utilising the Customer Relationship Management systems and maintaining processes and systems to facilitate this function. You will provide administrative support to the Practice/Practice Principal/Advisers. You may also be involved in the setup, design & implementation of a marketing strategy including the development of traditional marketing materials.
Duties & Responsibilities:
1. Client Communication, and Relationship Management
Answer incoming calls and emails promptly and professionally
Act as the first point of contact for client queries and redirect where necessary
Maintain excellent client relationships through timely, friendly communication
Manage client onboarding (Discovery Process) including welcome packs, accurately recording Factfind information, and collating compliance documents
2. Client Servicing and Review Process
Run the annual review process according to the firm's workflow
Prompt advisers on due reviews in line with the compliance policy and dates recorded in Intelligent Office and ConcertHub
Book client review meetings and manage adviser diaries
Send meeting reminders and follow-ups
Request up-to-date valuations and prepare review documents
Send post-meeting letters and action points
Follow up on agreed actions with providers or clients
3. Administrative Support for Advisers
Follow workflows for tasks you will be responsible for
Prepare client meeting packs and reports (including valuations, policy summaries, Fact Finds)
Generate Suitability Reports, illustrations and provider brochures according to the adviser's instructions and ensure any letters are consistently formatted according to the firm's branding
Process Letters of Authority and follow up with providers
Manage submission and tracking of new business applications
Liaise with providers for information, updates, and documentation
Update Intelligent Office and ConcertHub with meeting notes, documents, and client records.
4. Document & Data Management
Maintain accurate, up-to-date and compliant client records
Scan, label, and upload documents and servicing letters efficiently and in line with GDPR requirements
Ensure client documentation is complete, signed, and properly stored in line with our close case process
5. Operational & Office Support
Monitor the client services email inbox and distribute tasks accordingly
Manage office supplies with the Practice Administrator
Support the wider team with ad hoc admin tasks as required
Contribute to process improvements to enhance efficiency and client service
6. Marketing
Assist with the firm's marketing strategy which may include creating and posting content for social media, email campaigns, newsletters, literature, and the website

Pay: 25,000.00-28,000.00 per year
