Financial Services Administrator
to join our growing team. The successful candidate will be responsible for supporting the financial advisers and clients, managing a variety of administrative tasks related to the submission of new business, producing portfolio reports, liaising with both clients and providers, and managing ongoing new business cases while maintaining high standards of accuracy and efficiency.
You will play a crucial role in ensuring smooth operations and delivering exceptional service to clients while adhering to industry regulations and company standards. This position requires strong analytical skills and the ability to communicate effectively.
Key Responsibilities
New Business Submissions
Submit new business applications to various financial product providers, ensuring all required documentation is accurately completed and submitted within agreed timelines.
Ensure that all new business is compliant with regulatory requirements and firm procedures.
Monitor and track the progress of submitted business, following up with providers to ensure smooth and timely processing.
Portfolio Report Production
Generate and produce regular portfolio reports for clients
Maintain and update client portfolio details, ensuring all information is accurate and up to date.
Produce ad-hoc reports as required by advisers or clients
Client Liaison
Provide ongoing administrative support to clients by responding to queries, scheduling meetings, and updating them on the progress of their financial matters.
Proactively contact clients as necessary, for example, to provide policy updates or to gather required documentation.
Ensure clients receive excellent customer service, maintaining positive relationships, and acting as the main point of contact for any administrative questions or concerns.
Provider Liaison
Communicate effectively with financial product providers, ensuring accurate information is relayed and ensuring prompt resolution of any issues or discrepancies.
Maintain strong working relationships with providers to enhance service efficiency, and manage the resolution of any service issues that arise.
Handle tasks such as fund switches, policy amendments, and regular premium adjustments, coordinating with the relevant providers to ensure seamless client service.
Ongoing Case Management
Manage and track ongoing new business cases, ensuring that all paperwork and documentation is processed in a timely manner.
Keep detailed records of client interactions and case progress, ensuring all actions are documented in line with firm policy.
Support advisers in maintaining an organised and efficient workflow for their cases, and ensure that all tasks are completed promptly.
General Administrative Support
Manage diaries and schedule meetings for advisers, when requested, ensuring effective time management and smooth client interactions.
Maintain and update client files, ensuring compliance with GDPR and other regulatory standards.
Assist with general office administration, including answering phones and handling correspondence.
Essential Skills/Qualifications
Experience
: Minimum of 2 years previous experience working within an independent financial adviser or wealth management firm.
Technical Knowledge
: Familiarity with financial products (e.g., pensions, investments, life insurance, ISAs, etc.) and an understanding of the UK financial services regulatory environment
Organisational Skills
: Excellent organisational and time-management skills, with the ability to manage multiple tasks and deadlines effectively.
Attention to Detail
: Strong attention to detail, with the ability to accurately complete forms, reports, and other documentation.
Communication Skills
: Outstanding verbal and written communication skills, with the ability to liaise effectively with clients, advisers, and providers.
Client Focused
: A professional, customer-focused approach, with a commitment to delivering high standards of service to clients.
Technology Proficiency
: Proficient in using office software (Word, Excel, Outlook)
Problem Solving
: Ability to identify issues and resolve them in a timely and professional manner.
Confidentiality
: A strong understanding of data protection and confidentiality requirements within the financial services industry.
Qualifications
: A minimum of GCSEs C or above (or equivalent) in English and Mathematics is required.

: Level 4 - Diploma in Financial Planning, or working towards
