Purpose of the Role:
The Fleet and Health & Safety Officer is responsible for developing, implementing, and maintaining health and safety policies while simultaneously overseeing the management, operation, and compliance of the organisation's fleet of vans. This role ensures a safe work environment for all employees and promotes the efficient and cost-effective operation of company vehicles.
Key Responsibilities:
Health & Safety:
Conduct regular risk assessments to identify potential hazards and implement appropriate control measures
Investigate accidents, incidents, and near misses thoroughly and accurately, identifying root causes of incidents and implement corrective actions to prevent recurrence. Also maintain accurate records of all incidents and investigations
Provide health and safety training to employees at all levels, ensuring they are aware of their responsibilities and procedures
Keep abreast of changes in health and safety legislation and best practices
Ensure compliance with all relevant health and safety legislation and regulations, conducting regular health and safety inspections and audits to identify areas for improvement
Ensure all PQQs (pre-qualification questionnaires) are completed accurately and in a timely manner using various online portals including CHAS
Fleet Management:
Manage procurement of new vehicles in an efficient and cost-effective manner in line with expansion of business or at contract replacement points
Minimise vehicle downtime through planning and scheduling of scheduled servicing, booking repairs for reported faults and where necessary arranging temporary replacement vehicles
Report fleet/driver performance regularly to Directors. This is to include, but not limited to, driver behaviours, incident costs, running costs, fines, license checks, and fleet make up.
Liaise with company insurers for reporting accidents, proposing new drivers for insurance and ensure the MID is up to date.
Ensure any risk assessments and method statements associated with the fleet are reviewed and in-line with the company Health and Safety procedures.
Manage the administration of the fleet including ordering and distributing fuel cards, monitoring vehicle trackers, maintaining the fleet database, managing fines, and driving license checks are carried out.
Qualifications, Experience and Skills:
Previous experience in a health and safety role, preferably within a similar environment (qualification such as IOSH/NEBOSH desirable but not essential)
Fleet coordination and management experience
Excellent communication and interpersonal skills
Ability to work independently and as part of a team
Strong analytical and problem-solving skills
Good organisational skills and attention to detail
PC literate and competent with Microsoft Office
