The Fleet Controller is responsible for the effective management, compliance, and presentation of all vehicles across Graylaw International and its group of companies. This includes minimising downtime (VORs), ensuring operational readiness, managing vehicle acquisition and disposal, coordinating repairs and maintenance, handling fleet insurance, and overseeing all associated fleet administration and cost control.
Key Responsibilities:
Fleet Maintenance & Standards
Ensure all vehicles meet company cleanliness, safety, and branding standards.
Schedule and manage all planned maintenance and repairs to keep the fleet operational.
Proactively manage Vehicles Off Road (VORs) to minimise operational disruption.
Liaise with workshops, breakdown services, and parts suppliers to reduce turnaround times.
Monitor vehicle conditions and act promptly on issues affecting roadworthiness or presentation.
Fleet Acquisition & Disposal
Manage the full process of buying and selling vehicles across the group:
Assess operational requirements and recommend vehicle replacements or upgrades.
Source new vehicles, negotiate terms, and oversee commissioning and branding.
Coordinate the de-fleeting, sale, or disposal of old or surplus vehicles.
Track costs and maintain accurate records of asset acquisition and disposal.
Compliance & Administration
Ensure full compliance with legal and regulatory requirements (MOT, inspections, tax, emissions).
Maintain vehicle documentation, including V5s, inspection records, warranties, and service logs.
Add and remove vehicles from company insurance policies and maintain up-to-date coverage.
Register vehicles on national toll, congestion, and environmental systems.
Invoice Approval & Cost Management
Review, verify, and approve all fleet-related invoices, including:
Tyres
Repairs and servicing
Tracking and camera systems
Fleet insurance premiums, adjustments, and claims
Monitor and report on fleet expenditure and operating costs.
Work with finance and senior management to control fleet budgets and identify cost-saving opportunities.
Technology & Asset Monitoring
Oversee the installation and upkeep of tracking systems and onboard cameras.
Monitor telematics data to assess vehicle utilisation, performance, and driver behaviour.
Generate regular reports on fleet status, VORs, compliance, and cost performance for management.
Skills & Experience:
Experience in a fleet management or transport operations role within logistics or distribution.
Knowledge of vehicle legislation, compliance standards, and asset lifecycle management.
Strong administrative and cost management capabilities.
Proficient in telematics systems, fleet management software, and Microsoft Office.
Confident in negotiating with suppliers and managing service providers.
