Responsible for the administration of the Oleon Ltd Fleet team, ensuring all functions are carried our efficiently and using the resources available.
Core Responsibilities
Operational tasks
Ensure the Tachograph and WTD management system is kept up to date
Monitor infringement frequency rates and types, organising retraining where necessary to reduce infringements
Oversee and report on driver's hours and working time regulations, utilising company process to ensure full compliance
Manage and control Logistics paperwork, POD's, Drivers time sheets, expenses, vehicle check sheets, IBC returns etc.
Support the administration of holidays & other absences
Organise all inter-site movements to be carried out as requested
Organise vehicle maintenance for all HGV's and trailers is carried out as per the schedule
Manage and control the vehicle defect system
Organise ad hoc repairs (windscreens, tyres etc.)
Organise staff training requirements when arranged by Management team
Compile and communicate shift and performance reports
Manage and control Logistics stock / equipment (fuel, vehicle wash, straps etc.)
Take the lead role with Logistics Division Non-Conformances
Inform/update colleagues and collaborate on issues and problems
Daily dialog with the Planning & Logistics team to co-ordinate onsite operations and deliver the plan
Q E H&S
Ensure H&S is the #1 priority and safe practices are upheld by all
Identify, manage & report all immediate H&S risks and incidents
Assist with Logistics Division Non-Conformances and accident / incident investigations were required
Compile and feedback statistical information gathered from root cause analysis outcomes
Support divisional requirements to ensure all customer orders are delivered in full and other KPIs are met
Gather, prepare and present information for internal and external audits within areas of responsibility
Perform internal audits and implement corrective actions
Carry out spot checks / routine inspections on working processes and equipment
Keep the Drivers notice board up to date with all relevant communications
People
Work closely with Oleon Ltd Fleet drivers to ensure that workloads are managed effectively
Be the main point of contact for all out of hours fleet related issues that may arise which need to be resolved urgently
Interact with the driving team to support them to ensure the Fleet Operation is safe & efficient
Provide point of contact between support functions and Oleon Ltd Fleet colleagues
Co-ordinate & organise team members onto daily jobs and activities
Set the standard for good practices and conduct
Continuous Improvement
Encourage the performance of the team, strive for & drive improvement in all aspects
Support CI using lean methods and 5 S Standards to improve H&S, reduce errors/waste and improve efficiency (training and support provided)
Review & develop SOPs
Gather and employ data and facts to improve performance and eliminate faults/errors
Supporting Division Performance
Understand & support the implementation of site & business strategies and development plans
Understand customer needs and the importance of associated service & quality levels
Work in partnership with sister departments (commercial, technical, quality, people, maintenance, CI etc.)
Work in a culture that encourages ethical conduct, open communication and commitment to compliance consistent with company values.
Promptly communicate to manager and assist in investigating all relevant complaints, possible violations or irregularities, taking appropriate action where necessary.
Be a positive ambassador for the company and site in all situations
