Valid driving licence appropriate to vehicle types in the fleet (e.g., Category B for cars and vans).
Previous experience in a driving, vehicle maintenance, or support role is advantageous but not always essential.
IT literacy for fleet management systems, spreadsheets, and digital reporting tools.
Understanding of health and safety regulations related to fleet operations.
Main Responsibilities
Vehicle Maintenance Support:
Conduct routine inspections of vehicles for cleanliness, damage, and basic mechanical issues (e.g., checking oil, tyres, lights, and fluid levels).
Report faults or potential repairs to designated supervisors or mechanics promptly.
Assist with scheduling regular servicing and maintenance appointments for fleet vehicles.
Keep accurate records of vehicle condition, maintenance, and repairs.
Vehicle Cleaning and Upkeep:
Clean, wash, and valet fleet vehicles inside and out, ensuring a presentable and sanitary environment for all users.
Restock cleaning and safety supplies in each vehicle as needed.
Dispose of waste and manage basic vehicle interior repairs (e.g., replacing seat covers or floor mats).
Fleet Administration:
Maintain logs and records of vehicle mileage, usage, accidents, and servicing.
Update fleet management software or spreadsheets with accurate, real-time information.
Assist with preparing regular reports on fleet utilisation, costs, and incidents for management review.
Monitor and document the usage of fuel cards, tolls, and parking expenses.
Coordination and Communication:
Act as a point of contact between drivers, service providers, and management.
Relay information about vehicle availability, repairs, and scheduling.
Coordinate with mechanics, detailing services, and other support staff as needed.
Health, Safety, and Compliance:
Ensure all vehicles are compliant with legal standards, including MOT, insurance, and emissions requirements.
Assist with monitoring and promoting safe driving behaviours among staff.
Carry out spot checks and audits on vehicles, reporting any compliance concerns.
Participate in safety briefings and contribute to a culture of accident prevention.
Vehicle Movement:
Move vehicles between sites, to and from service providers, or to designated parking areas as required.
