Role Overview

This is not just another admin role -- it's your chance to be at the heart of a growing and ambitious flight training school. As our Flight School Coordinator, you'll be the hub that keeps our training operations running smoothly, connecting students, instructors, aircraft, engineering, compliance, and the wider airfield team.

We're looking for someone who thrives in a fast-paced, people-focused environment and is excited about shaping how we work as we grow. Candidates with experience in logistics, scheduling, or transport coordination will find this role a perfect fit -- you'll be applying those skills to keep aircraft, people, and resources moving in sync.

This role offers a clear career progression pathway to Flight School Operations Manager, giving you the chance to step into a leadership position as you grow with the school.

Key Responsibilities

Scheduling & Coordination

Own and manage the daily flying schedule for students, instructors, and aircraft. Coordinate closely with the engineering team to plan aircraft going into and coming out of maintenance, minimising downtime and disruption to training. Liaise across multiple departments -- engineering, operations, compliance, and management -- to keep schedules accurate and achievable. Keep operations running on time and adjust quickly when plans change due to weather, maintenance, or availability issues.

Student Experience

Be the friendly, professional first point of contact for all students. Support students from first enquiry through to completion of training, ensuring they feel informed, supported, and valued. Communicate clearly and promptly on bookings, changes, and course requirements.

Operations, Reporting & Compliance

Maintain accurate training and operational records to meet CAA requirements. Ensure all scheduling and booking data in systems is accurate and up to date. Prepare weekly summaries for the Head of Training on key metrics such as aircraft utilisation, lesson completion, and cancellations. Support compliance checks and prepare for internal and external audits.

Process & Growth

Identify and implement ways to streamline scheduling, booking, and admin workflows. Look for opportunities to improve efficiency and enhance the student journey. Actively contribute ideas to help the flight school scale successfully. Take ownership of your area and grow with the role as the school expands.
