As we continue to expand our service delivery and compliance portfolio, we're looking for a driven and organised FM Compliance Coordinator to join our Brentwood team and play a key part in keeping our clients' buildings safe, compliant, and performing at their best.

Role Overview

The FM Compliance Coordinator will play a central role in ensuring all statutory and planned maintenance obligations are tracked, recorded, and completed across our client portfolio. Working closely with engineers, subcontractors, and clients, you'll maintain accurate compliance records, schedule PPM works, and support the Service Delivery Manager in managing asset and system compliance performance.

Key Responsibilities

Manage and maintain compliance documentation across all active client sites (including F-Gas, Emergency Lighting, Fire Alarms, Legionella, Lifts, and Electrical Safety).

Schedule, track, and monitor Planned Preventative Maintenance (PPM) activities to ensure 100% compliance with statutory and contractual requirements.

Liaise with engineers, subcontractors, and suppliers to coordinate attendance, completion reports, and certification.

Upload, file, and audit all compliance documentation to ensure records are accurate and up to date.

Support mobilisation of new contracts by setting up asset registers and PPM schedules within the CAFM system.

Produce compliance and performance reports for internal management and clients.

Assist in preparation for audits, client meetings, and KPI reviews.

Identify and escalate any risks or non-compliance issues promptly to the Service Delivery Manager.

Provide administrative and coordination support to the wider FM operations team as required.

Skills & Experience Required

Essential:

Experience working within Facilities Management or Building Services (hard services preferred).

Good understanding of statutory compliance requirements in FM.

Excellent organisational and administrative skills with strong attention to detail.

Confident communicator with coordination and follow-up ability.

Competent with CAFM systems, Excel, and Microsoft Office.

A proactive and positive approach to problem-solving.

Desirable:

Technical or engineering knowledge (M&E bias advantageous).

Experience liaising with clients and managing contractor performance.

Familiarity with SFG20 or other maintenance compliance frameworks.
