To coordinate and ensure that all Academy related administration and operations run smoothly, and are in lin with Club Doncaster and football governance rules.
In conjunction with the multi-disciplinary team, support the Head of Academy to drive the Academy management plan.
Support the Head of Football Administration and Operations with ad-hoc activities in relation to first-team matters.
Key duties and responsibilities:
Be the main point of contact for all Academy players, parents and staff for general enquiries.
Develop a supportive, positive and professional relationship with all Academy staff, players and parents.
Inform the Head of Football Administration and Operations of the planned Academy schedules and visitors.
Review administration processes, making any positive changes in the best interest of Academy players and staff.
Create and maintain an audit trial for all Academy files.
Support the HR and Safeguarding Manager and Head of Academy during official governing body audits.
Provide secretarial support to the Head of Football Administration and Operations and Academy staff, when required.
Support the match day coordinator, kit coordinator and mini bus drivers so they are aware of timings and relative information to support their roles.
Ensure all post-match paperwork including team submission, appearance and discipline statistics et al, are submitted on iFAS in accordance with all FA/League deadlines.
Handle incoming and outgoing scout requests.
Support the HR and Safeguarding Manager in the mass communication of policies and reporting processes in respect of the Academy.
Ensure SRS (Staff Registration System) is managed and updated accurately.
Monitor SRS and iFAS, and flag up qualifications and issues that arise.
Ensure that appropriate staff files are accurate and complete.
Ensure that all player files are accurate and all registration data and internal documentation is returned and completed in a timely manner.
Ensure that all the multi-disciplinary team are aware of player entries and exits.
Support the HR and Safeguarding Manager with annual policy reviews and dissemination.
Support the HR and Safeguarding Manager with relative administration in relation to Academy staff and volunteers.
Complete and action all match day information for U9-U18s programmes with the support of Lead Phase Coaches, including pitch bookings, away information, match officials, visiting scouts et al.
Manage all pitch bookings on Sportskey.
Support the Head of Football Administration and Operations with player registrations and match day administration for all teams, where appropriate.
Produce and circulate the monthly Academy newsletter to all club staff and parents.
Ensure all policies and procedures are adhered to.
Active participation in continuing professional development.
Act at all times with utmost good faith to the club(s) and company.
Devote full attention and ability to fulfilment of the duties required by the role.
To work closely with fellow staff, maintain good relationships, and collaborative working practices.
