We are seeking an experienced Freelance Finance Officer / Bookkeeper to provide essential financial support to the CEO and Board. This role is critical in ensuring strong financial stewardship, accurate reporting, and compliance with charity finance requirements.

Purpose of the Role



The Freelance Finance Officer / Bookkeeper will:

Provide timely, accurate financial information to support the CEO, Treasurer, and Board in decision-making. Manage day-to-day finance operations, including payroll, invoices, reconciliations, and income/expenditure monitoring. Maintain financial records on Xero and ensure compliance with relevant regulations. Support effective financial management of fundraising income, ensuring the correct allocation of restricted and unrestricted funds. Prepare management accounts, budgets, forecasts, and reports that contribute to effective governance and oversight.

Key Responsibilities



Financial Management & Reporting



Prepare and present monthly management accounts for the CEO. Produce clear and accurate quarterly financial reports for the Treasurer and Board of Trustees. Support the CEO with the preparation of the annual budget and financial forecasts. Monitor income and expenditure, providing clear monthly forecasting to support decision-making. Ensure financial systems and records are up to date and compliant with charity requirements. Assist in the preparation of the annual financial accounts and support year-end processes.

Bookkeeping & Operations



Process invoices, payments, expenses and receipts, ensuring accuracy and timeliness. Complete bank reconciliations and manage cashflow records. Manage payroll, pensions, and staff expense claims. Maintain accurate financial records in Xero. Liaise with external accountants and auditors as required.

Fundraising & Restricted Funds



Provide accurate and timely financial information for fundraising bids, reports, and monitoring returns. Ensure the correct allocation of costs between restricted and unrestricted funding. Track grant income and expenditure against budgets, ensuring compliance with funder requirements.

Compliance & Governance



Ensure compliance with relevant financial, legal, and regulatory requirements for charities. Support the preparation of year-end accounts and audit requirements. Provide financial information to funders and regulators when needed.

Person Specification



Essential



Minimum of 3 years' experience as a finance officer, bookkeeper, or similar role. Proficiency with Xero accounting software and Excel spreadsheets. Strong organisational skills and attention to detail. Experience preparing financial reports for senior leadership, trustees, or boards. Ability to work independently, manage priorities, and meet deadlines. Strong communication skills, able to explain financial information clearly to non-finance colleagues.

Desirable



Knowledge of charity finance and reporting requirements. Experience supporting governance structures such as Boards of Trustees. Understanding of restricted/unrestricted funds in a charity setting. Experience working with fundraising income and grant reporting.

Terms of Engagement



Freelance role (self-employed basis). 1 day per week, based at the Life Chance Trust office in Newton Abbot (some flexibility may be considered). Competitive day rate, dependent on experience. Initial 12-month agreement, with potential to extend subject to performance and funding.
