Fitzpatrick Academy of Music, Renfrewshire's No.1 Music Academy are seeking a professional, friendly and outgoing Front Desk Admin to join our team. The ideal candidate will be the first point of contact for our students, providing exceptional customer service and administrative support. The Academy prides itself on its unrivalled customer service, with quick response times and willingness to help without question. This role requires strong organisational skills, attention to detail, and the ability to handle various tasks efficiently in a fast-paced, but fun and friendly environment.
Duties
Greet and welcome guests upon arrival with a warm and friendly attitude.
Handle new student procedures efficiently, using our registration system, and providing the correct information as and when required, this is vital to ensuring a smooth experience for all guests.
Manage and keeping reservations up to date using our booking system, ensuring accuracy in data entry and updates.
Make & answer. phone calls promptly, providing information and assistance with inquiries or concerns. Our booking system is straight forward but requires fast movements to ensure clients are secured.
Maintain an organised front desk area, ensuring all materials are stocked and readily available.
Perform clerical duties such as filing, data entry, and managing correspondence as required.
Utilise QuickBooks and Google Suite for administrative tasks, including invoicing and scheduling.
Assist with any guest requests or issues that may arise during their stay, ensuring satisfaction at all times.
Cleaning & maintenance of a busy school. Making our clients comfortable is one of our biggest goals.
Utilise and get familiar with our My Music Staff platform.
Take pre Direct Debit payments correctly and book in student exams to our standard.
Late fee notifications & reminders. Keeping track of all payments in and out.
Experience
Previous experience in a front desk or administrative role is preferred.
Proficiency in using computer systems for data entry and management; familiarity with QuickBooks is advantageous.
Strong organisational skills with the ability to prioritise tasks effectively in a busy environment. This is a must, please do not apply if not.
Excellent phone etiquette and communication skills to interact professionally with guests and team members. A script will be provided and followed.
A good understanding of office procedures and clerical tasks is beneficial.
Ability to type accurately and efficiently while managing multiple responsibilities simultaneously.
Social Media skills are a must. Our posts are regular and tailored to our audience, we try and post daily with lots of information and insights. Media is a big factor in securing our students, however we have several avenues that bring students to us. Our future growth plans require fantastic marketing.
Google analytics experience, ad manager & meta ads are A MUST. Please do not apply if you cannot navigate these proficiently.
Photoshop skills are a massive bonus, we use photoshop daily and only post our own, copyrighted content throughout. All designs are our own. Canva also a bonus.
