Job Description

An essential member of the Administration team and contribute to the smooth running of the College. To provide a professional and welcoming first impression of Marlborough College, both in person and on the telephone. Support the Administration Manager in providing a comprehensive administration service.


Main tasks under the direction of the Administration Manager

Dealing with enquiries, whether by e-mail, post, telephone or in person, politely, efficiently and effectively. Effective onward distribution of all enquiries for all departments. Issuing visitor passes and following correct signing in protocol. Notifying staff of their visitor's arrival. Ensuring the Reception area is presentable and the calendar is up to date with expected visitors. Dealing with the daily dispatch of all the College's external post including Royal Mail, DHL and other couriers. Providing administration assistance to the Administration Manager and departments throughout the College. Monitoring monthly bills from Royal Mail and DHL. Preparing the breakdown of costs for the Accounts department. Responsible for issuing mobile phones for school trips. Producing pupil lists from the College database (iSAMS) as required and adding new pupil photographs to their profile. Stationery ordering for a variety of departments and ensuring the correct budget codes are used. Administrative tasks on a termly/daily basis which include Staff photos and printing of staff cards, creating Wi-Fi codes for visitors, update and distribute telephone list (Termly). Oversee room bookings using College booking system. Fire Marshall and First Aider.
