Join our award?winning private dental clinic specializing in aesthetic, implant, and restorative dentistry. Our calming, contemporary environment is designed to provide an outstanding experience for every patient. We are now seeking a dynamic Front Desk Manager/New Patient Coordinator to lead our front-of-house team and ensure every patient experiences VIP care from first contact to final visit.
Purpose
As the first and last impression of our clinic, your role is pivotal. You will represent our core values, ensuring every interaction--whether online, over the phone, or in person--reflects our dedication to exceptional patient care. You will coordinate the full patient journey, maintain a seamless and organized front-of-house operation, and set the tone for a luxurious client experience.
Administrative Responsibilities
Register and onboard new patients according to established protocols
Verify and update patient records
Schedule new patients and guide them through their appointments
Answer and manage all new patient calls and emails with warmth and professionalism
Mark and signal patient arrivals through internal systems for seamless coordination
Proactively manage the diary to minimise wait times and support efficient workflow
Coordinate hygiene and treatment appointments, maintaining over 90% patient activity
Maintain an "ASAP" list to fill cancellations and keep scheduling at 95-100% capacity
Schedule follow-up appointments before patients leave the practice
Collect payments and manage basic accounts
Uphold strict patient confidentiality and professional standards
Maintain accurate documentation and liaise with external clinicians when required
Operational Responsibilities
Oversee daily front desk performance and support accountability for KPIs (key performance indicators)
Manage the daily flow of the practice, ensuring schedules run smoothly
Maintain understanding of each patient's procedure, support needs and progress
Ensure every patient experience reflects our five?star standard
Prepare patient rooms, offer refreshments and recognise comfort preferences
Track and communicate each patient's journey within our premium experience model
Confirm all lab items, prescriptions and parts are ready ahead of treatments
Ensure lab work is completed, dispatched and documented correctly
Support the clinical team by preparing patient comforts and anticipating needs
Maintain strong knowledge of treatment plans, processes and patient coordination
Refine ethical communication and sales techniques to maximise patient conversion
What We're Looking For
A warm, polished and professional individual who takes pride in exceptional service
Previous experience in customer?facing roles (dental or non?dental) is advantageous
Excellent organisation, communication and interpersonal skills
Calm, adaptable and confident under pressure
Ability to multitask efficiently and prioritise effectively
Leadership capability and strong ownership of front?of?house operations
Previous experience in private healthcare, hospitality, luxury retail or sales is highly valued
