We are seeking a versatile Front Desk Support professional to manage our front desk area while handling marketing administrative duties and health & safety responsibilities. This role is pivotal in maintaining our professional image, ensuring smooth office operations, and upholding our regulatory obligations.

Important information:



- The role is based in the office full time (5 days a week, Mon-Fri). Only apply if you're willing to work from the office full time.

- The work environment is formal, and corporate/professional attire is required from the jobholder at all times.

Key Responsibilities



Front desk Duties

:

Manage the front desk, greeting visitors and ensuring compliance with visitor management protocols

Handle incoming calls and correspondence, providing product/service information to callers and directing them appropriately

Maintain call and visitor logs and issue temporary access cards in accordance with security protocols

Coordinate meeting room bookings and manage hospitality arrangements

Process courier services and manage incoming/outgoing mail

Handle the booking of taxis, hotel accommodation, flights, and other items related to staff and visitor travel.

Marketing Administration

:

Support the marketing team with administrative tasks, including campaign and event coordination

Maintain marketing materials inventory and coordinate reprints

Assist in updating company presentations and marketing collateral

Track marketing expenses and process related invoices

Maintain marketing contact databases in compliance with GDPR requirements

Health & Safety

:

Act as cover for the Bank's Health & Safety representative

Assist in conducting regular health and safety assessments and maintain required documentation

Support in the coordination of fire safety procedures, including drills and equipment checks

Support in managing first aid supplies and maintaining accident reporting systems

Support with ensuring compliance with workplace safety regulations

Additional Responsibilities

:

Maintain office supplies inventory and process orders

Coordinate with external facilities management regarding building maintenance, where required

Support business continuity planning and implementation process

Assist with employee/visitor onboarding processes regarding building access and safety protocols

Experience and Skills



Technical experience

Proficient use of Microsoft Office Suite

Experience with logging visitors, issuing access cards, and maintaining security.

Ability to operate multi-line phone systems, transfer calls, and handle inquiries efficiently.

Experience with booking travel (flights, hotels, taxis) and meeting rooms.

Familiarity with digital or paper-based accident reporting systems.

General experience

Qualifications and Education



Essential

GCSE or equivalent in English and Mathematics Experience in a front desk or administrative support role Proficiency with Microsoft Office applications (Word, Excel, Outlook) Basic understanding of GDPR requirements
5. Basic Health & Safety awareness training

Desirable

Experience in a financial services environment Basic experience with event coordination Understanding of marketing administrative processes NEBOSH General Certificate or equivalent health and safety qualification
