We are searching for the ideal Front Office Supervisor, who will be personable, calm, dependable and inclined to lead from the front. The Supervisor is responsible for supporting junior colleagues throughout the shift, working between the Front Office Manager, Assistant Front Office Manager and the Duty Managers to ensure the order of the day runs smoothly, and upholding the standard for high quality guest interaction in front of their team.
Responsibilities
To effectively supervise Reception on a daily basis to ensure that the operation of reception and switchboard runs smoothly throughout the day.
To ensure that all administration duties such as banking, floats, billing, and correspondence are all carried out in accordance to company standards for the shifts that you are responsible for.
Ensure the highest levels of customer service are delivered by yourself and the Receptionists when checking in and checking out all guests.
Ensure that the Reception Team adheres to and follow the SALT standards at all times when interacting with guests through both the check in and check out procedures.
Assist the Front Office Manager and/or Assistant Front Office Manager in addressing any areas identified in the customer feedback forms.
To assist the Front Office Manager and Assistant Front Office Manager in their absence with regards to the operation of the reception on a daily basis to the standards required.
Ensure that Brand Standards are implemented effectively and adhered to at all time.
Effective operation and utilization of the front office system - ON Q - ensuring brand operating procedures are followed and adhered to.
Provide on the job training and coaching to the Receptionists as required by the Front Office Manager.
Responsible for the training of new team members and the signing of training log books.
Ensure effective communication at all times with guests, customers, the Front of House team and colleagues throughout the hotel.
Control and monitor the issue of departmental keys and floats on appropriate shifts.
Promote the effective use of Synergy to log any guest assistance queries and complaints
Support as required the Reservations Team to maximize room occupancy.
Being a member of the fire team familiar with the fire procedures, as detailed in the Fire Manual.
Meet individual and team targets as set by the Front Office Manager.
Deliver adhoc tasks as requested by the Front Office Manager and/or Assistant Front Office Manager in a timely manner.
Qualifications
Previous experience in a hotel or hospitality environment is essential.
Strong understanding of guest services principles and practices.
Excellent phone etiquette skills are required for effective communication with guests and clients.
Ability to manage multiple tasks in a fast-paced environment while maintaining attention to detail.
Strong leadership skills with the ability to motivate and support team members.
