We are seeking a dedicated and detail-oriented Office Administrator to join our team. The ideal candidate will have a strong background in office management and administrative support, ensuring that our office runs smoothly and efficiently. This role is crucial in coordinating day-to-day operations, managing communications, and providing clerical assistance to various departments.
Duties
Manage incoming and outgoing communications, including phone calls and emails, ensuring professional phone etiquette at all times.
Prepare and send invoices to customers who have placed orders on the phone or by e-mail
Deal with queries from customers in relation to course bookings
Take payment and deal with exam board queries
Maintain organised filing systems for both physical and digital documents.
Perform data entry tasks accurately and efficiently, ensuring all records are up-to-date.
Assist with bookkeeping tasks using XERO, including invoicing and expense tracking.
Prepare wages information to submit to the Accountant for monthly pay cycle
Administer examination paperwork and send to relevant bodies
Coordinate office supplies inventory and place orders as necessary to ensure the office is well-stocked.
Skills
Proven office experience with a strong understanding of administrative processes.
Proficient computer skills, particularly in Microsoft Office Suite
Previous experience with Xero (or similar) is advantageous.
Excellent organisational skills with the ability to manage multiple tasks simultaneously
Effective phone etiquette and communication skills to interact professionally with clients and colleagues.
