Job Description

Purpose:



The postholder will provide high-quality, responsive administrative support across all professional services that is including but not limited to Registry, Assessments, Student Finance, and Attendance, while serving as a key point of contact for all enquiries. The postholder will ensure accurate data handling, efficient service delivery, and excellent customer service to support the smooth operation of the institution's academic and support services.

Roles & Responsibilities:

. Registry Services



Maintain accurate student records in the Student Information System (SIS). Process student enrolments, transfers, withdrawals, and changes to personal details. Support the production and distribution of registration materials and ID cards. Ensure compliance with data protection legislations and internal procedures.

. Assessment Services



Assist in scheduling assessments and managing exam timetables and logistics. Prepare and securely handle assessment papers and submissions. Record and process assessment results, resits, and academic appeals. Liaise with academic staff, invigilators, and external assessors as needed.

Student Finance Services



Provide administrative support for student finance applications, grant, and fee-related processes. Guide students through financial application procedures and eligibility checks. Record and follow up on outstanding documentation or fees. Maintain accurate financial records in line with institutional and funding guidelines.

Attendance Services



Monitor student attendance and update records using institutional internal systems. Generate reports to support academic and pastoral teams. Follow up on unexplained absences and contribute to early intervention processes. Ensure attendance data supports compliance with funding and visa requirements.

. Enquiries and Frontline Support



Act as a first point of contact for student and staff enquiries for all departments (in-person, email, phone). Provide accurate, timely, and helpful information or refer queries to relevant departments. Log, track and follow up on enquiries where necessary
Contribute to a positive student experience by delivering outstanding customer service.

General Duties



Support enrolment events, open days, assessment periods, and other student-facing activities. Maintain confidentiality and adhere to data protection regulations (e.g. GDPR). Identify opportunities for process improvements and contribute to service reviews. Undertake training and professional development as required. Carry out other administrative tasks in line with the role.

Person Specification:



Essential:



Proven administrative experience in a customer-focused environment. Strong interpersonal and communication skills, both verbal and written. Good working knowledge of Microsoft Office (Word, Excel, Outlook). Excellent attention to detail and organisational skills. Ability to manage multiple tasks and work to deadlines. Commitment to high standards of customer service.

Desirable:



Experience working in an educational setting. Familiarity with student record systems Knowledge of assessment cycles and/or student finance processes.
Understanding of attendance monitoring processes and compliance obligations.

Job Types: Full-time, Permanent

Pay: 25,500.00-26,000.00 per year
