We are seeking a proactive and highly organised General Administrator to provide essential support across both our operations and sales functions. This role will work closely with the Managing Director, estimating team, and site staff to ensure smooth project administration, effective sales coordination, and excellent client service. The ideal candidate will be confident making outgoing calls to clients, suppliers, and subcontractors as part of their daily routine.
Key Responsibilities
Administrative & Operational Support
Provide day-to-day administrative and operational assistance to the Managing Director and wider team.
Answer and manage incoming calls and emails; handle general enquiries and direct queries appropriately.
Make outgoing calls to suppliers, clients, and site teams to confirm details, follow up on requests, and ensure efficient communication.
Schedule and organise site labour; liaise with foremen and subcontractors to ensure projects run smoothly.
Procure materials, machinery, and plant hire for ongoing and upcoming projects.
Maintain accurate records of jobs, supplier details, procurement logs, and compliance documents.
Produce daily and monthly reports on project spend, applications, procurement, and delivery tracking.
Manage invoicing, upload invoices to QuickBooks, and issue purchase orders (POs) to suppliers.
Sales Administration
Support the estimating and sales team by booking in new jobs and maintaining an up-to-date job pipeline.
Log and manage tenders; track deadlines, submissions, and follow-up actions.
Make regular outgoing calls to follow up on tenders, warm leads, and client communications.
Maintain and update the company CRM system with accurate client, project, and lead information.
Prepare sales and pipeline reports for management, highlighting progress and opportunities.
Key Skills & Experience
Strong administrative, organisational, and reporting skills.
Excellent communication skills -- both written and verbal -- with a confident, professional phone manner.
Comfortable and proactive in making outgoing calls to clients, suppliers, and leads.
Proven ability to prioritise and manage multiple tasks in a fast-paced environment.
Proficiency in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks and CRM systems is an advantage.
Detail-oriented, proactive, and confident in supporting senior management.
Previous experience in a construction, engineering, or service-based environment is desirable.
