The General Manager will work closely with the Managing Director and other Head of Departments to ensure the smooth running of the charity. The General Manager is responsible for overseeing the operational, administrative, and facility functions of the clinic to ensure smooth, safe, and efficient service delivery. This role ensures compliance with healthcare regulations (such as safeguarding), manages staff, maintains a safe and welcoming facility, and supports high-quality patient care through effective leadership. This includes front-of-house functions, whilst acting as the primary contact for under 30 Osteopaths.
Operational Management
Support the development and implementation of initiatives that align with the charity's mission and vision.
Develop and implement operational plans to achieve clinic objectives.
Oversee daily clinic operations, including front office, administrative, and support functions.
Implement strategies to improve operational efficiency and overall patient satisfaction.
Implement clinic policies and procedures to meet quality standards and regulatory requirements.
Foster a culture of continuous improvement and excellent patient care.
Clinic Management
Manage and supervise the day to day running of the clinic, liaising with the Consultant-in-Charge.
Manage two reception staff and indirectly around 30 Osteopaths ensuring a professional service and in accordance with organisational policy and procedure.
Deal with complaints in accordance with Clinic complaints procedure and evaluate suggestions.
Monitor and improve clinic workflows, processes, and procedures.
Monitor and improve patient's care and journey.
Employee & Human Resources Management
Ensure adequate staffing for provision of patient services - processing leave request, sickness, day off in Lieu for Admin and Clinical Staff with Bright HR, ensuring reallocation of patients in the event of an osteopath's sickness in the clinic diary.
Oversee recruitment, on-boarding, orientation and training programs.
Conduct regular staff evaluations and manage performance improvement plans.
Address conflict resolution, disciplinary actions, and grievance procedures.
Foster a positive and professional working environment with open communication and accountability.
Health and Safety Compliance
Ensure that all health and safety regulations are adhered to, and that the clinic operates within statutory compliance.
Coordinate training for staff on emergency procedures, first aid, and workplace safety.
Conduct regular risk assessments, inspections, and safety drills.
Maintain safety systems, including alarm systems, fire safety equipment, and emergency procedures.
Maintain up-to-date health and safety records and staff training documentation. Be responsible for the Health and Safety of all premises, staff and patients, including osteopaths.
Building & Facility Management
Oversee the maintenance, cleanliness, and security of the clinic's premises.
Manage relationships with vendors, service providers, and contractors.
Coordinate repairs, renovations, and equipment servicing to ensure a safe and efficient facility.
Ensure compliance with building codes, fire safety regulations, and accessibility standards.
Manage building access, alarm systems, and key control, including weekend rental responsibilities.
IT and AV Equipment
Oversee the management and maintenance of IT, Databases and AV system.
Liaise with IT support providers to ensure system reliability and security.
Ensure a backup dairy system is in place in the event of IT failure/breakdown.
Support the integration of technology into clinic operations.
Asset & Inventory Management
Maintain an accurate and up-to-date inventory of clinic assets and equipment.
Oversee the procurement and purchasing of supplies.
Implement systems to monitor and manage equipment life cycle and replacement.
Reports & Statistics
Monitor and maintain a weekly clinic analysis report, ensuring clinic staffing requirements are met.
Maintain accurate records of clinic performance and produce reports as required eg. Workload analysis, treatment analysis, diagnosis analysis and age analysis.
Monitor the DNA and cancellation list, contacting patient/carers where necessary taking action.
Identify areas for improvement and present actionable insights to address operational weaknesses.
Person Specification
Proven experience in managing staff from differing disciplines, supporting and leading them to achieve organisational goals. Remaining calm under pressure is essential, quick on your feet making decisions.
Experience of operating at a Management Level (over 3 years) and demonstrable business acumen. Being able to multi-task and working around children is essential.
Understanding of/interest in Clinic Management, outstanding organisational skills and leadership ability.
Computer literate must have experience working with databases (Clinic Office, training will be given) and Raisers Edge. Must also be familiar with Microsoft Excel and Ms Word.
Strong communication skills - verbal and written - strong analytical and problem-solving skills.
Ability to think strategically and embrace 'the bigger picture'.
Good team player, attention to detail and ability to work to deadlines.
Strong understanding of health and safety regulations.
